Operations Assistant Job Description

Job Overview: The Operations Assistant is responsible for assisting in the execution and coordination of the company's daily operations, ensuring efficient and smooth business processes. Under the guidance of the Operations Manager or Department Head, this position assists in handling data, documents, process tracking, supplier communication, and cross-departmental coordination.

Suitable for candidates with strong organizational skills, meticulous attention to detail, and proficiency in multitasking.

Main Responsibilities:

Assist the Operations Manager in executing daily operational plans and project management;

Responsible for the organization, archiving, and updating of internal documents, processes, and data;

Follow up on daily business processes such as orders, shipments, inventory, and customer feedback;

Maintain communication with sales, finance, marketing, and customer service departments to ensure smooth workflow;

Assist in the preparation of various operational reports and performance analysis documents;

Participate in the basic maintenance and data entry of company systems (ERP, CRM, etc.);

Assist in supplier management, including contract archiving, purchase order tracking, and payment coordination;

Assist in planning and executing process optimization projects to improve operational efficiency;

Participate in meeting minutes and summary preparation, and track the progress of execution tasks.

Job Requirements:

Associate's degree or above, with preference given to candidates majoring in Business Administration, Operations Management, Logistics, Finance, or related fields;

At least 1 year of experience in administrative, operations, or project support is preferred;

Proficient in Microsoft Office software (especially Excel, Word, and PowerPoint);

Excellent communication and coordination skills and data analysis awareness;

Detail-oriented, responsible, and able to handle multiple tasks simultaneously;

Strong learning ability and quick understanding of business processes;

Good English reading and writing skills are preferred (suitable for international companies).

Bonus Points (Optional):

Familiarity with ERP, CRM, or project management systems (such as Salesforce, Asana, , etc.);

Basic data analysis skills or advanced Excel skills (such as pivot tables and functions);

Experience in supply chain, logistics, or e-commerce platform operations;

Experience in process optimization, project coordination, or report preparation.
