Job Summary

We are looking for a dedicated Office 365 & Exchange Administrator to take ownership of our internal Office 365 environment, manage Exchange Online, and handle email infrastructure, whitelisting, SMTP configurations, and client support. The ideal candidate will have deep expertise in Microsoft Exchange, Office 365 administration, and related messaging/security services.

This role requires strong troubleshooting skills, hands-on experience with email routing and security controls, and the ability to support both internal operations and client-facing needs.

Key Responsibilities

  • Administer and manage Office 365 tenants, including Exchange Online, SMTP services, mail flow rules, and compliance settings.
  • Configure and manage SMTP settings for internal applications and external integrations.
  • Implement and maintain whitelisting/blacklisting controls, spam/phishing protection, and email hygiene using Microsoft Defender for Office 365 or similar tools.
  • Support internal users and client teams with email delivery issues, SMTP configuration support, and Exchange/Outlook troubleshooting.
  • Manage and audit mail flow rules (transport rules), connectors, and policies in Exchange Admin Center.
  • Monitor and troubleshoot mail routing, NDRs, SMTP relays, and email performance issues.
  • Collaborate with IT security to ensure compliance with email security best practices, including DKIM, SPF, and DMARC.
  • Document standard operating procedures, configuration changes, and incident resolutions.
  • Stay updated with the Microsoft 365 roadmap and best practices related to Exchange Online, PowerShell for Exchange, and related services.

Required Skills & Qualifications

  • 5+ years of hands-on experience with Microsoft Exchange Online and Office 365 administration.
  • Strong knowledge of SMTP protocols, email authentication standards (SPF, DKIM, DMARC), and email relay configurations.
  • Experience with Microsoft 365 Admin Center, Exchange Admin Center, and PowerShell for Office 365/Exchange Online.
  • Solid understanding of email delivery troubleshooting, DNS (MX records, SPF, DKIM), and anti-spam/anti-phishing policies.
  • Experience with application-level SMTP setup and support.
  • Strong analytical and problem-solving skills.
  • Excellent communication and documentation skills.
  • Ability to handle support escalations and work directly with internal and client IT teams.

Preferred Skills (Nice to Have)

  • Microsoft Certification (e.g., Microsoft Exchange certification).
  • Experience with Microsoft Defender for Office 365, Purview compliance center, or third-party email gateways (e.g., Proofpoint, Mimecast).
  • Experience with hybrid Exchange deployments or migrations to Office 365.
  • Familiarity with Power Automate or scripting for automation of email-related tasks.
