Job Description

Job Summary:

The Associate Officer, Community Program Support, is responsible for supporting the Community program team with administrative and logistical processes, serving as the main point of contact for community program activities.

Main Tasks and Responsibilities:
  1. Provide administrative support to maintain effective, up-to-date community program operations.
  2. Assist program teams with online timesheet processing.
  3. Follow up on all payment requests in accordance with available budget lines.
  4. Track procurement requisitions (PRs), program budgets, and expenditures regularly.
  5. Manage cash advances and prepare clearances as needed.
  6. Coordinate with logistics, finance, and HR for community program activities.
  7. Prepare and document PRs under different budget lines and assist in timely disbursement of items.
  8. Perform scanning, copying, and filing of backup and community health documents.
  9. Send monthly PR trackers and expense reports to program teams.
  10. Track PR approvals monthly and liaise with the program team.
  11. Issue procurement requisitions for non-food items and IEC materials as guided by health management.
  12. Follow up on IT assets like tablets and chargers with logistics and health teams.
  13. Manage program backup documentation and archives, including bills and contracts.
  14. Ensure timely PR approvals to avoid delays.
  15. Collaborate with HR, finance, and logistics as needed.
  16. Perform other duties as assigned, ensuring adherence to organizational standards.
Job Requirements:
Minimum Qualifications:
  • Bachelor's degree in business management, accounting, administration, or equivalent experience.
  • At least 2 years of relevant experience in program administration within an NGO.
  • Fluent in local language and English, both written and spoken.
  • Proficient in Microsoft Office, especially Excel and PowerPoint.
  • Experience with budget tracking and financial management is preferred.
