Key Responsibilities:

  1. Office Setup Project Management:
  • Lead the search, evaluation, and selection of suitable office premises based on company requirements, budget, and location strategy.
  • Manage the entire office fit-out/renovation process: planning, budgeting, vendor selection (architects, contractors, suppliers), procurement, timeline management, quality control, and handover.
  • Negotiate effectively with local landlords, vendors, and service providers.
  • Ensure compliance with local regulations and permits related to office setup and operation.
  1. Administrative Operations & Office Management:
  • Establish and manage day-to-day office administrative functions after setup completion.
  • Oversee facilities management: maintenance, cleaning, security, utilities, supplies, and equipment.
  • Implement and manage office policies, procedures, and filing systems.
  • Manage office budgets and expenses efficiently.
  1. Reception & Guest Relations:
  • Serve as the primary point of contact for office visitors, ensuring a professional and welcoming reception experience.
  • Manage meeting room bookings and setup.
  • Coordinate guest logistics (e.g., refreshments, local transportation) as needed.
  1. Vendor & Stakeholder Management:
  • Source, negotiate with, and manage relationships with local vendors (IT, furniture, supplies, couriers, catering, etc.).
  • Act as the key liaison between the Pakistan office and headquarters/other teams, ensuring smooth communication.
  • Coordinate effectively with internal stakeholders (e.g., IT, HR, Finance) for office needs.
  1. Communication & Reporting:
  • Provide clear, structured, and timely progress reports on the office setup project and ongoing operations.
  • Communicate proactively and effectively with management and team members.
  • Demonstrate strong cross-team communication skills.

Requirements:

  • Pakistani national residing in the target city with in-depth local knowledge.
  • Demonstrated ability to plan, execute, manage budgets/timelines, and deliver complex projects successfully (office setup project experience is a plus, but strong PM skills from other contexts are essential).
  • Fluent in Urdu and English (written and spoken). Chinese is plus. Must be articulate, proactive, responsive, and possess excellent negotiation and relationship-building abilities.
  • "Can-do" spirit, highly resourceful, and able to respond promptly to requests and solve problems independently.
  • Ability to juggle multiple tasks, prioritize effectively, and maintain meticulous organization. Ability to establish structure from scratch.
  • Proven track record of identifying, negotiating with, and managing local vendors effectively.
  • Ability to work effectively within diverse teams and bridge cultural communication gaps.
  • Prior experience working within or closely supporting Chinese companies operating in Pakistan. Understanding of Chinese business culture and communication styles is a significant advantage.
  • Experience in office administration, facilities management, or operations roles.
  • Experience in managing budgets and expenses.
