Pakistan Administrative Specialist Job Overview

The role of the Pakistan Administrative Specialist involves overseeing the entire office setup and operation process. This includes managing vendors, ensuring compliance with local regulations, and maintaining a professional reception area.

  • Office Setup and Management
  • Negotiate effectively with local landlords and vendors to secure necessary services and supplies.
  • Manage the planning, budgeting, and procurement of all office equipment and facilities.
  • Coordinate with local authorities to obtain necessary permits and approvals.
  • Administrative Operations & Office Management
  • Establish efficient administrative systems for day-to-day operations.
  • Oversee facilities management, including maintenance, cleaning, security, utilities, supplies, and equipment.
  • Develop and implement office policies and procedures.
  • Reception & Guest Relations
  • Ensure a welcoming and professional reception experience for office visitors.
  • Manage meeting room bookings and coordinate logistics as needed.
  • Vendor & Stakeholder Management
  • Source and negotiate with local vendors to secure necessary services and supplies.
  • Act as liaison between the Pakistan office and headquarters/other teams.
  • Communication & Reporting
  • Provide regular progress reports on office setup and ongoing operations.
  • Communicate proactively with management and team members.
Requirements
  • Pakistani national residing in Islamabad with in-depth local knowledge.
  • Demonstrated ability to plan, execute, manage budgets/timelines, and deliver complex projects successfully.
  • Fluent in Urdu and English (written and spoken). Chinese is plus.
  • Ability to juggle multiple tasks, prioritize effectively, and maintain meticulous organization.
  • Proven track record of identifying, negotiating with, and managing local vendors effectively.
  • Ability to work effectively within diverse teams and bridge cultural communication gaps.
  • Prior experience working within or closely supporting companies operating in Pakistan.
  • Experience in office administration, facilities management, or operations roles.
  • Experience in managing budgets and expenses.
