Job Summary
Experience of PPRA rules and regulations is preferred.
The main mandate of this position is to assist the Manager SPM in all SCM-related activities, including preparing and maintaining the management information system (MIS) of vendors, suppliers, and contractors engaged in business activities. The job includes assisting in vendor record management, maintaining the existing record system in Oracle database-ERP, coordinating with vendors, suppliers, and contractors throughout the procurement process, and ensuring transparency at each level for the betterment and positive image of the company.
Job Responsibilities
- Assist in the enlistment of new suppliers in Oracle-ERP for tendering process, verifying their active taxpayer status from FBR, SRB, BRA, and PEC portal daily.
- Create accounts in Oracle-ERP and categorize them for financial purposes, and prepare documentation for releasing payments.
- Add new supplier sites to existing vendor accounts in Oracle-ERP, updating vendor information and categorization.
- Update records in existing vendor accounts upon request, including address, contact details, etc.
- Support in deactivating vendor accounts that are debarred or blacklisted, notify relevant departments, and coordinate with IT for website updates.
- Assist in restoring vendor accounts after debarment periods, inform departments, and coordinate with IT for website updates.
- Handle correspondence with vendors, contractors, and departments to address and resolve queries related to vendor records.
- Assist in preparing status reports for capital budget items, service contracts, and stock requirements, gathering data from Oracle-ERP.
- Create new item codes in the Item Master Oracle Database, defining and updating item details.
- Assist in preparing Purchase Requisitions, collaborating with stakeholders and ensuring timely submission.
- Ensure timely completion of tasks, comply with risk management frameworks, participate in risk activities, and report key risks.
