POSITION SUMMARY

The Executive will oversee and handle the operational responsibilities of orders for HAQT, such as processing and ensuring that orders and shipments are completed on time to meet turnover goals. They will establish project timelines, monitor project costs, quality, and delivery. The role involves initiating and leading efforts to develop innovative solutions for complex business challenges. The Executive will counsel the business on risks related to customer terms and approvals, in accordance with business policies.

The Executive plays a key role in understanding and fulfilling customer needs—both internal and external—by providing professional, helpful, high-quality service before, during, and after the customer's requirements are met. They will identify, raise issues, and collaborate with the manager to establish necessary controls and generate reports as needed. Additionally, they will support office management, communication, and organizational tasks.

CORE RESPONSIBILITIES AND TASKS

  • Order processing, preparing delivery/shipping documents, invoicing, and project controlling.
  • Acting as the control point for document submissions and archiving related to each project.
  • Ensuring all orders are executed promptly to meet customer requirements, while controlling costs and delivery schedules.
  • Communicating clearly with customers regarding order changes, non-conformance, delivery issues, etc.
  • Assisting in planning monthly costs and revenue recognition.
  • Tracking project gross margins, managing change orders, and monitoring projects at risk of delay or cancellation.
  • Preparing monthly Project Status Review Reports for project meetings.
  • Counsels' business on risks related to customer terms and necessary approvals.
  • Preparing documents for letter of credit negotiations.
  • Providing customer service inquiries to internal and external customers.
  • Collaborating with cross-functional team members to facilitate decision-making for project delivery and prioritization.
  • Documenting, monitoring, and auditing internal controls.
  • Following up on payments for handled projects.

POSITION REQUIREMENTS

  1. Formal Education: Diploma or Degree in Business, Accounting, or related discipline.

2. Knowledge & Experience:

  • 5 or more years of relevant experience in a similar role and organization, with exposure to business processes.
  • Experience in business administration, process, or operations management involving order processing, sales backend, and project/cost control is a strong plus.
  • Understanding of Percentage of Completion and Point of Time revenue recognition is a strong plus.
  • Detail-oriented with good planning and project schedule tracking skills.
  • Excellent communication skills (written and verbal).
  • Strong analytical skills with accuracy and attention to detail.
  • Independent, analytical, stress-tolerant, goal-oriented, diligent, and capable of multitasking.
  • Effective time-management skills.
  • Strong team player with good teamwork skills and ability to forge relationships across teams.
  • Proficient in MS Office applications, especially Excel, and ERP systems knowledge.

3. Technical/Skill Requirements:

Required and preferred skills include: Microsoft Office, good communication and interpersonal skills, multitasking, problem-solving, invoicing, project management, meticulousness, service orientation, project coordination, logistics experience, ERP knowledge.
