Job Brief:
The Documentation coordinator will be responsible for managing and coordinating all facility-related data and reporting across multiple project sites. This role will act as the central point of contact for operations, maintenance, and facility-related concerns while ensuring accurate data management, reporting, and compliance tracking. The primary focus will be on analyzing and maintaining records to support operational efficiency and decision-making.
Job Responsibilities:
- Maintain a centralized database for maintenance, operations, and facility-related activities.
- Collect, compile, and analyze data related to facility operations, maintenance activities, and resource utilization.
- Maintain inventory records for facility equipment, materials, and essential supplies.
- Ensure accurate documentation of stock levels and coordinate with the relevant teams to address shortages.
- Develop structured reports to provide insights into facility performance and operational trends.
- Conduct periodic site visits for facility audits, ensuring compliance with operational and maintenance standards.
- Monitor and document adherence to safety regulations and building codes across project sites.
- Maintain records of maintenance schedules, service reports, and building inspections.
- Report any critical issues that require management attention and track corrective actions.
- Generate periodic reports on facility status, operational efficiency, and maintenance activities.
- Act as the liaison between site teams and the head office for facility-related concerns.
- Report any compliance issues and coordinate necessary corrective actions.
Job Requirements:
- Qualification: Graduate preferably in Business Administration
- Must have Good / Advance Excel Skills
- Experience: 2-3 years of relevant experience
