Operations Specialist

On this journey, you will report to "Manager, Pantry".

1. Request for Quotations (RFQ) Management:
2. Process and review Requests for Quotations (RFQs) received from clients.
3. Float RFQs to our supplier base to solicit responses.
4. Rate Negotiation:
5. Negotiate competitive rates with suppliers to ensure healthy margins and profitability.
6. Develop and maintain strong relationships with suppliers to support ongoing negotiations.
7. Supplier Onboarding:
8. Oversee the onboarding process for new suppliers to ensure they meet our standards and are prepared to fulfill client needs.

Maintain up-to-date records of supplier credentials and compliance.

1. Quotation Creation:
2. Create and deliver accurate quotations to clients, incorporating appropriate margins and ensuring alignment with client requirements.

Purchase Order Management:

1. Raise purchase orders for selected suppliers with meticulous attention to detail.
2. Track and manage purchase orders to ensure accuracy and completeness.

Supplier Follow-Up:

1. Follow up with suppliers to ensure timely receipt of stock.
2. Address and resolve any issues related to stock delivery and quality.

Inter-department coordination:

1. Ensure cross-functional coordination, resulting in smooth execution of the operations.

Stock Level Management:

1. Monitor and manage stock levels to maintain them above the safety net, especially for clients with blanket POs.
2. Coordinate with the warehouse team to ensure stock availability meets client demands.

Periodic Audits:

1. Conduct periodic audits in collaboration with the warehouse executive to ensure consistency between the foodpanda inventory management system and the warehouse management system.
2. Identify and address any discrepancies promptly.

Expiry Report Management:

1. Ensure that warehouse executives provide timely batch-wise expiry reports.
2. Take proactive measures to address any potential issues related to inventory expiration.

Payments:

1. Invoice verification and submission to the payment team for processing.
2. Communicate payment evidence to the supplier once the payment has been processed.

• Bachelor's degree in Business Administration, Supply Chain Management, or a related field.
• Minimum of 2 years of experience in supply chain management, or a similar role.
• Strong negotiation skills with the ability to secure favorable terms and conditions.
• Exceptional attention to detail and accuracy in managing purchase orders and stock levels.
• Proficiency in inventory management systems and Microsoft Office Suite (Excel, Word, Outlook).
• Excellent communication and interpersonal skills to effectively interact with clients, suppliers, and team members.
• Ability to perform under pressure and meet tight deadlines.
• Experience with foodpanda or similar inventory systems is a plus.
• Problem-solving attitude.
