Surgery Scheduling Representative

Location: Bahria Town Phase 7 (Preference for residents of Bahria, DHA, Askari 14, or nearby areas)

Sequel Technologies is a software company providing healthcare IT and medical billing services to the US market.

Job Summary:

We are looking for a detail-oriented and proactive Surgery Scheduling Rep to support surgery scheduling workflows for our US-based healthcare clients. The ideal candidate will serve as a key liaison between patients and client practices, ensuring smooth and accurate coordination of surgeries from initial request to post-operative follow-up.

This role requires familiarity with U.S. healthcare systems, strong communication skills, and the ability to manage multiple tasks with precision.

Responsibilities:

  1. Receiving Surgery Requests:
    • Monitor flagged surgery requests or designated queues in the EHR daily.
    • Confirm surgery requirements with the client if details are unclear or incomplete.
  2. Pre-Surgical Planning & Authorization:
    • Verify patient eligibility and benefits for the scheduled procedure.
    • Submit prior authorization requests through payer portals, fax, or phone.
    • Follow up with insurance providers to obtain approval and log authorization numbers in the EHR.
  3. Pre-Operative Coordination:
    • Schedule imaging, lab work, or medical clearance appointments (with PCP, cardiology, etc.).
    • Coordinate with internal or third-party providers.
    • Communicate delays or additional requirements to the client.
  4. Patient Notification & Preparation:
    • Contact patients to communicate surgery details, including:
    • Surgery date & time
    • Fasting and arrival instructions
    • Required documentation
    • Send pre-op instructions via email or patient portal.
    • Make confirmation calls 1–2 days before surgery to review prep and answer questions.
  5. Post-Surgery Tasks:
    • Schedule follow-up appointments based on post-op protocols.
    • Confirm appointment details with the patient and update the EHR.
    • Notify the client immediately of any complications or concerns.
  6. Communication & Reporting:
    • Provide daily or real-time updates to the client on scheduled surgeries.
    • Respond promptly to client queries regarding patient status.
    • Maintain clear and professional communication with clients and patients.

Qualifications/Skills:

  • Strong English communication skills (spoken and written).
  • Comfortable speaking directly with U.S.-based patients and providers.
  • Experience with U.S. healthcare systems and EHR platforms.
  • Understanding of surgery scheduling and authorization processes.
  • Detail-oriented and organized with multitasking abilities.
  • Prior healthcare coordination experience is a plus.

Timings: 5:00 PM to 2:00 AM (US Time Zone)
