Job Summary

A procurement specialist, also known as a purchasing specialist, is responsible for purchasing products needed by an organization. Their primary duties include sourcing key suppliers, negotiating purchase agreements, and ensuring that supplies meet company standards. We seek an astute procurement officer to supervise purchasing activities, ensuring materials are cost-effective and of high quality. Responsibilities include managing supplier relationships, reviewing supply options, authorizing purchases, and tracking inventory. An effective procurement specialist must be analytical, trend-aware, and capable of negotiating effectively while ensuring compliance with business standards.

Responsibilities and Duties
  1. Identify potential suppliers and vendors of goods and services.
  2. Procure goods or services that meet quality standards efficiently and economically.
  3. Develop plans for acquiring supplies, services, and equipment.
  4. Analyze and negotiate vendor agreements, including terms and pricing.
  5. Maintain procurement records, pricing data, and inventory management.
  6. Monitor inventories and replenish supplies as needed.
  7. Ensure prompt delivery of orders.
  8. Record order details (vendors, quantities, prices) in internal databases.
  9. Stay informed about market developments and new products.
  10. Communicate with suppliers and project managers regarding updates and product specifics.
  11. Compare product costs with market trends to determine the best options.
  12. Update and maintain supplier information such as delivery schedules and product lines.
  13. Prepare budgets, cost analyses, and reports.
  14. Verify invoice accuracy upon product delivery.
Requirements
Qualifications

Degree subjects that may enhance your candidacy include:

  • BSc in Logistics
  • Business Administration, preferably in supply chain management
  • Business Management
Skills and Experience
  • At least 1 year of experience as a Purchasing Officer, Procurement Agent, or similar role
  • Experience managing strict budgets
  • Expertise in vendor sourcing, evaluation, and liaison
  • Strong negotiation skills for favorable terms
  • Analytical skills, including financial reporting and cost analysis
  • Numeracy skills for analyzing data
  • Excellent communication skills, both written and verbal
  • Interpersonal skills and ability to build rapport
  • Decision-making capabilities
