
Executive Support Specialist

We are seeking a highly skilled and proactive Virtual Assistant to provide direct support to our CEO. This is an exciting opportunity for someone who thrives in a dynamic environment, can anticipate challenges, and proactively troubleshoot issues.
- Manage the CEO's calendar, emails, and day-to-day priorities with precision and efficiency.
- Assist with various projects, from research to execution, using your initiative and problem-solving skills.
- Maintain and update CRM systems, ensuring seamless data management.
- Conduct deep-dive research on topics, present clear insights, and provide actionable recommendations.
In this role, you will work closely with the CEO to identify staffing needs, coordinate recruitment processes, and onboard new team members. You will also serve as a liaison between managers and teams, ensuring effective communication and alignment.
To succeed in this position, you must have a proven track record of working with international clients, excellent communication skills, and experience with CRM tools like HubSpot or Pipedrive. You should be proficient in project management software, calendar, email, and task management tools, and have a strong understanding of team structures and dynamics.
Key Qualifications- Minimum 3 years of experience working with international clients.
- Strong communication skills – written, verbal, and interpersonal.
- Proven ability to be proactive, confident, and resourceful with a 'figure-it-out' mindset.
- Experience in using CRM tools like HubSpot, Salesforce, or Pipedrive.
- Familiarity with project management software such as ClickUp, Notion, Asana, or Trello.
- Skilled in calendar, email, and task management tools like Google Workspace, Slack, and Zoom.
- Experience with recruitment platforms (LinkedIn Recruiter, Indeed, etc.) and end-to-end hiring processes.
- Highly organized and able to manage multiple tasks and deadlines effectively.
