Job Title: Project Coordinator

The Project Coordinator plays a pivotal role in overseeing the execution of diverse projects. Key responsibilities include planning, resource allocation, and monitoring project progress.

Key Responsibilities:
  • Project Planning
    • Determine project objectives and scope in collaboration with senior management
    • Develop detailed work plans outlining tasks required for successful project completion
    • Assess resource requirements, including time, budget, and personnel
    • Create schedules for project completion that effectively allocate resources
    • Review project schedules with stakeholders and revise as necessary
    • Establish evaluation criteria for project success
  • Staffing
    • In consultation with appropriate managers, recruit, interview, and select personnel with relevant skills for project activities
    • Manage project staff according to established organizational policies and practices
    • Maintain accurate and confidential personnel files
    • Ensure new hires receive comprehensive orientation to the organization and project
    • Engage qualified consultants as needed for specific project requirements
  • Implementation
    • Execute projects according to developed plans
    • Design and implement systems for documenting project activities
    • Set up secure filing systems for project information
    • Monitor project progress, making adjustments as necessary to ensure timely completion
    • Establish communication schedules to update stakeholders on project status
    • Regularly assess the quality of work completed by project teams
  • Control
    • Prepare reports on project status for management and funders
    • Cultivate relationships with funders as per funding agreements
    • Oversee and approve all budgeted project expenditures
    • Track cash flow projections and report actual variances to senior management
    • Comply with established accounting procedures for managing project funds
    • Ensure financial records are up to date
    • Prepare financial reports for funders as outlined in funding agreements
  • Evaluation
    • Ensure project deliverables meet expectations regarding timeliness, budget, and quality
    • Evaluate project outcomes as defined during the planning phase

The ideal candidate will possess excellent leadership, communication, and presentation skills. Additionally, they must be able to motivate and manage cross-functional teams assigned to the project. Familiarity with Agile/SCRUM or standard software development processes is advantageous. Experience with web-based application development, industry trends, database concepts, programming languages, and project management tools like MS Project and SCRUM is desirable. A PMP certification holds significant value.
