Job Title: Director of Administrative Operations

About the Role:

  • Maintaining a high-level executive's agenda and planning appointments, meetings, conferences, and other events.
  • Overseeing travel arrangements, hotel bookings, tickets, visas, and personal arrangements for senior executives.
  • Handling and prioritizing all correspondence, including emails, letters, packages, and other documents.
  • Tracking and communicating relevant information to executives.
  • Coodinating with various departments on behalf of executives, ensuring seamless communication and collaboration.
  • Managing approval requests and following up on their status.
  • Recording meeting minutes and ensuring timely follow-up on action items.
  • Monitoring and disseminating information from across departments, including Marketing, Inventory, Product, IT, HR, Audit, Admin, Accounts, Design, Sales, and Quality Audit, as well as Factory operations.
  • Preparing weekly reports on sales updates.
  • Frequent follow-ups on tasks and assignments from all departments, guaranteeing timely completion.
  • Addressing Sales and Admin-related issues and overseeing their resolution.
  • Executing various tasks assigned by senior executives.

Key Qualifications:

  • Proven experience as an administrative professional or similar role.
  • Proficiency in MS Office and back-office software, with SAP user-friendliness being an asset.
  • In-depth knowledge of office management and basic accounting procedures, as well as technical vocabulary relevant to the industry.
  • Familiarity with basic research methods and reporting techniques.
  • Excellent organizational and time-management skills.
  • Outstanding communication and negotiation abilities.
  • Integrity and confidentiality.
  • Degree in business administration or a related field.
