Administrative Leadership Role

This is a management position that oversees the administration of an organization, encompassing various tasks including record keeping, mail distribution, telephone operations, and other office support services.

Main Responsibilities:

  1. Coordinate administrative activities by planning, directing, and implementing policies, procedures, and work schedules for reception, switchboard, mail room, and kitchen staff.
  2. Manage communication systems by evaluating options, maintaining equipment, and approving invoices to ensure seamless operations.
  3. Oversee the recruitment, selection, training, and development of administrative staff, fostering a safe and secure work environment.
  4. Drive staff performance by setting clear expectations, monitoring results, and providing coaching, counseling, and discipline as needed.
  5. Purchase printed materials and forms by negotiating price, quality, and delivery to meet organizational requirements.
  6. Contribute to special projects by organizing information, coordinating resources, and meeting deadlines to achieve desired outcomes.
  7. Maintain historical records by developing and utilizing filing and retrieval systems.
  8. Ensure continuity across teams by documenting actions, irregularities, and continuing needs, promoting effective collaboration.
  9. Stay up-to-date with industry standards and best practices by attending workshops, reviewing publications, and networking with peers.
  10. Support team efforts by accomplishing related tasks as needed to drive overall success.
  11. Enhance program quality by identifying new applications, updating procedures, and evaluating system effectiveness with stakeholders.

Requirements:

  1. Familiarity with ISO principles, standards, and inspection methods.
  2. Superior organizational, coordination, and multitasking abilities.
  3. Excellent time management skills to meet obligations without delays.
  4. Proficient communication, negotiation, and explanation skills.
  5. Able to train junior staff in quality inspection and analysis techniques.
