Job Title: Supply Chain Coordinator

This role supports the department by organizing key activities, managing internal communications, and tracking important tasks.

Main Responsibilities:

  • Maintain a comprehensive task list, with regular updates, ensuring that they're completed on time.
  • Organize weekly meetings, including agenda preparation, minute-taking, and follow-up on action items.
  • Coordinate and schedule Tender Board meetings, liaising with members, and other stakeholders, and ensure accurate documentation and timely circulation of minutes and decisions.
  • Plan and support the execution of internal workshops, departmental events, and meetings.
  • Maintain a comprehensive contracts tracker, highlighting key milestones such as expiry, renewal dates, and send timely reminders to relevant stakeholders for renewals.
  • Schedule internal/external meetings, organizing logistics, preparing materials, and following up on key actions.
  • Process invoices and expenses for payment, ensuring they are properly authorized and comply with the company's policies.
  • Assist in the preparation of updates, presentations, and other documents as and when required.
  • Facilitate communication with regards to cross-functional initiatives and ensure that required follow-ups are completed in a timely manner.
  • Liaise with HR to coordinate relevant trainings, track participation, and maintain training records.
  • Coordinate with internal teams and Finance to ensure the timely submission of Time Write statements.

Required Skills and Qualifications:

  • Minimum 3 to 5 years of relevant experience
  • Strong organizational and time-management skills with keen attention to detail.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Experience with document management and record-keeping.
  • Excellent written and verbal communication skills.
  • Ability to prioritize, multitask, and work independently.
  • Discretion in handling confidential information
  • Proactive and self-motivated with a positive attitude.
  • Strong interpersonal skills; able to collaborate effectively across teams.
  • Reliable and accountable; follows through on commitments.
  • Detail-oriented and thorough in all tasks.
