Job Title: Financial Operations Specialist

Job Description:

The ideal candidate will support the financial and administrative functions of the department, ensuring adherence to donor regulations, internal policies, and financial reporting standards.

This role will involve efficient support to Principal Investigators (PIs), departments, and research teams. The incumbent will also play a key role in budgeting, expenditure monitoring, reporting, and audit facilitation.

Key Responsibilities:
  • Assist in the financial administration of sponsored projects from pre-award budgeting to post-award reporting
  • Prepare grant, core, and course budgets in coordination with principal investigators and relevant departments
  • Support preparation and revision of project budgets and forecasts
  • Monitor project expenditures, ensure allowable and allocable costs, and flag deviations
  • Provide variance analysis on project budgets and actuals to management and project leads
  • Coordinate with the finance department to generate periodic financial reports for internal and donor reporting requirements
  • Collaborate with various university departments for timely completion of the grant checklist process
  • Serve as a liaison between principal investigators and the Office of Research and Graduate Studies to resolve concerns in time for submission deadlines
  • Facilitate sponsor and sub-awardee due diligence process
  • Use advanced contracts and grants concepts to manage a high volume of proposals and subawards, many involving significant complexity, by liaising with the legal department
  • Keep abreast of developments in research and grants administration, including CFR and AFR updates
  • Assist in resolving modification issues, including coordination with funding agencies
  • Ensure that each project ends with a closeout process including completion of all work, submission of required reports, and resolution of financial matters
  • Maintain up-to-date grant files and documentation for audits and reviews
  • Ensure compliance with donor rules, institutional policies, and grant agreements
  • Support internal and external audits by preparing schedules, reconciling data, and coordinating with audit teams
  • Assist in maintaining proper documentation of financial transactions, cost justifications, and correspondence.
