Job Title: Front Office Representative
Job SummaryWe are seeking an experienced and skilled Front Office Representative to join our team. The ideal candidate will have a professional demeanor, excellent communication skills, and the ability to multitask effectively.
Key Responsibilities:- Welcoming visitors in a friendly and courteous manner, ensuring a positive first impression for clients and colleagues alike
- Managing incoming phone calls, responding to inquiries, and forwarding messages in a timely and efficient manner
- Maintaining the reception area, keeping it tidy and presentable, with attention to detail and a keen eye for aesthetics
- Receiving, sorting, and distributing daily mail and deliveries, handling paperwork and administrative tasks with precision and care
- Coordinating appointments and managing meeting rooms, ensuring seamless transitions and minimal disruptions
- Maintaining office supplies, monitoring inventory levels, and informing management when replenishment is required
- Providing general administrative support, including data entry, filing, copying, and other tasks as assigned
Qualifications and Experience:
- High school diploma or equivalent; additional training or certification in administration a plus
- Minimum 1 year of experience in a similar role, with a proven track record of success and adaptability
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Excellent verbal and written communication skills, with a strong focus on customer service and teamwork
- Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines
