Executive Support Specialist

The Executive Support Specialist provides high-level administrative assistance to the Director in all aspects of office operations.

  1. Develop and implement effective office systems, ensuring seamless data management and filing.
  2. Arrange travel, visas, and accommodation, accompanying the Director to meetings or presentations as required.
  3. Screen phone calls, enquiries, and requests, handling them with discretion and professionalism.
  4. Meet and greet visitors at all levels of seniority, providing a warm and welcoming atmosphere.
  5. Organize and maintain diaries, making appointments as necessary.
  6. Handle incoming email, faxes, and post, often corresponding on behalf of the Director.
  7. Conduct research and present findings, providing valuable insights and recommendations.
  8. Prepare documents, briefing papers, reports, and presentations, ensuring accuracy and attention to detail.
  9. Organize and attend meetings, ensuring the Director is well-prepared and informed.
  10. Liaise with clients, suppliers, and other staff, fostering strong relationships and partnerships.
  11. Carry out specific projects and research initiatives, driving business growth and development.
  12. Manage accounts and budgets, ensuring financial stability and efficiency.
  13. Assume some of the Director's responsibilities, working closely with management to drive business success.
  14. Act as Deputy to the Director, making decisions and delegating work to others in their absence.
  15. Participate in decision-making processes, contributing to strategic planning and implementation.

Requirements:
