Key Responsibilities

You will be responsible for supporting the department chair in managing various functions, including finance, administration, personnel, and logistics. This will also involve related programs such as education, training, clinical services, and innovation within or associated with the department.

Specific responsibilities include:

  • Making logistical arrangements for faculty tutorials, case presentations, and modules for residents, as well as collecting evaluations and ensuring timely handovers.
  • Managing office supplies, purchasing requests, and maintaining an adequate inventory to ensure timely availability.
  • Providing facilitation to rotating residents for submitting PGME forms, ensuring timely submission and handover.
  • Assisting the PGME program director and coordinator with tasks and preparing reports as assigned.
  • Offering support to various faculties and assisting with travel, ongoing projects, dossiers, and day-to-day logistics.
  • Compiling resident data, preparing quarterly letters for feedback, and annual letters for annual feedback.
  • Following exit lists, collecting office-provided accessories, and ensuring timely completion within HR timelines.
  • Supporting the chair/designee in preparing departmental budgets and participating in related meetings.
  • Coordinating with the manager for department funds and medical college BVR, maintaining accurate records of faculty expenditures.
  • Facilitating official travel and providing logistical support for faculty members.
  • Preparing departmental payment reimbursements, petty cash, and liaising with finance-related issues.
Requirements

To excel in this role, you should possess:

· A Bachelor's degree, preferably a Master's from a recognized institution.

· At least 3-5 years of relevant experience.

· Excellent communication and interpersonal skills.

· Fluency in written and spoken English is mandatory.

· Proficiency in computer packages such as MS Office.
