Accounts & Invoicing Officer Job Summary

The Accounts & Invoicing Officer plays a pivotal role in managing invoicing, vendor relations, and data maintenance. This position is responsible for handling Ariba and non-Ariba invoice submissions, resolving payment issues, monitoring aging reports, and ensuring timely processing of orders.

This role requires collaboration with vendors, client teams, and other departments to resolve invoicing and payment issues. Additionally, the officer will maintain and upload data to the VSRM system, ensuring smooth operation.

Main Responsibilities:

  • Submit and track Ariba and non-Ariba invoices, ensuring timely payment processing.
  • Follow up on overdue invoices, vendor order discrepancies, and rejected invoices.
  • Handle order confirmations, change orders, and cancellations in Ariba.
  • Collaborate with vendors and client teams to resolve invoicing and payment issues.
  • Maintain and upload data to the VSRM system, ensuring smooth operation.
  • Provide reporting and support for invoicing and account reconciliations.

Required Skills and Qualifications:

  • Bachelor's Degree in a relevant field with 1-2 years of experience.
  • Experience in AP/AR, account reconciliation, and customer service.
  • Proficient in SAP, Excel (advanced functions), and Microsoft Office.
  • Strong organizational, communication, and problem-solving skills.
  • Ability to work independently, prioritize tasks, and collaborate with global teams.
  • Detail-oriented with a customer-focused attitude and patience.
