About the Job

We are seeking a skilled professional to fill an Administrative Officer role within our organization. This position is critical in ensuring seamless day-to-day operations and office management.

The successful candidate will be responsible for developing and implementing periodic office maintenance plans, managing office procurement and supplies, and handling vendor relationships.

Additionally, they will develop and oversee office safety and security protocols, including the maintenance of fire extinguishers and smoke detectors, manage the office equipment and goods store, and ensure proper inventory and organization.

They will also oversee the smooth operation of the office employees' mess/lunch facilities, manage office power and electricity, including generators, and ensure the efficient functioning of air-conditioning systems.

The ideal candidate will have proven prior work experience in an administrative role, strong proficiency in Microsoft Office, excellent written and verbal communication skills, and demonstrated ability to foster positive employee relations.

Responsibilities

  1. Develop and implement periodic office maintenance plans
  2. Manage office procurement and supplies
  3. Handle vendor relationships
  4. Develop and oversee office safety and security protocols
  5. Manage office equipment and goods store
  6. Oversee office employees' mess/lunch facilities
  7. Manage office power and electricity
  8. Ensure efficient functioning of air-conditioning systems
  9. Contribute to annual budget development and implementation
  10. Manage EOBI processes and employee medical management
  11. Provide support for official guests and company events
  12. Take responsibility for office refreshment arrangements
  13. Manage international and local courier services
  14. Process utility bills and vendor invoices
  15. Manage petty cash transactions
  16. Manage official cellular accounts and related communication services
  17. Oversee office printing and stationery supplies
  18. Liaise with government departments and handle routine legal administrative matters
  19. Manage annual contracts with vendors and stakeholders
  20. Oversee procurement and stock management of employee safety kits
  21. Manage office vehicles and insurance
  22. Handle office annual general insurance policies
  23. Ensure compliance with established office policies and procedures

Requirements

  • Proven prior work experience in an administrative role
  • Strong proficiency in Microsoft Office
  • Excellent written and verbal communication skills
  • Demonstrated ability to foster positive employee relations
  • Graduate or higher degree in a relevant field
  • Minimum of 4 to 6 years of relevant experience
