
Senior Administrative Assistant to Senior Manager

About the Role
This role involves providing high-level administrative support to a senior manager. The ideal candidate will be highly organized, efficient, and able to multitask effectively.
Key Responsibilities
- Scheduling Meetings: Arrange meetings for the senior manager at various venues, ensuring timely and effective communication.
- Event Coordination: Gather information on upcoming events in the country and provide regular updates to the senior manager.
- Minute Taking: Take accurate and detailed minutes of meetings, including Board of Directors' (BODs) meetings.
- Expense Management: Prepare and maintain records of the senior manager's expenses.
- Clients and Visitors: Meet and greet clients and visitors, providing a professional welcome and assistance as needed.
- General Duties: Perform general administrative tasks such as filing, mailing, and faxing.
- Monitoring Activities: Oversee overall activities, including cleaning, food arrangements, and house workers' performance.
- Room Maintenance: Ensure the senior manager's room is clean and well-maintained, with adequate office supplies.
- Travel Arrangements: Assist with travel arrangements, both domestic and international, as required.
- Diary Management: Manage the senior manager's diary and appointments efficiently.
- Output and Work Flow: Help the senior manager manage output, work flow, and office deadlines.
- Message Relay: Relay accurate and timely messages from telephone callers, answering queries where possible.
- Meeting Minutes: Take minutes for all meetings.
- Correspondence: Draft, type, and dispatch correspondence on behalf of the senior manager.
- Liaison: Liaise with relevant individuals and organizations to arrange meetings, prepare agendas, and draft minutes.
- Filing System: Maintain a comprehensive filing system.
- Travel Coordination: Coordinate travel arrangements for the senior manager in conjunction with the in-house travel group.
- Expenditure Tracking: Tabulate and retrieve official expenditures and claims.
- Transportation: Arrange local transportation when necessary.
- Research and Promotion: Undertake research, media relations, and promotional work as required.
- Additional Duties: Perform any additional duties requested by the senior manager.
- Duty Scheduling: Schedule duty time according to the senior manager's presence.
Requirements
- A foreign degree or diploma in the same field will be given preference.
