Pharmaceutical Tender Specialist Job Description

This Pharmaceutical Tender Specialist position presents an opportunity to collaborate with a client in the pharmaceutical industry, overseeing end-to-end public and private institutional tenders. The ideal candidate will be responsible for identifying tender opportunities, preparing documents, submitting tenders, and ensuring compliance with regulatory standards.

Key Responsibilities:
  • Tender Monitoring & Identification:
    • Track and monitor tender opportunities from public sector portals and private institutions.
    • Evaluate tenders and identify opportunities aligned with company products.
  • Tender Preparation & Submission:
    • Prepare and compile all required technical and financial documents.
    • Coordinate with product, regulatory, and finance teams for documentation and pricing.
    • Submit tenders on time as per institutional requirements.
  • Compliance & Documentation:
    • Ensure documentation complies with regulatory, legal, and institutional standards.
    • Maintain updated repository of company registrations, product certifications, and relevant approvals.
  • Stakeholder Coordination:
    • Act as a liaison with hospitals, procurement departments, regulatory bodies, and internal teams.
    • Coordinate with sales and supply chain teams for post-tender execution (deliveries, payments, etc.).
  • Reporting & Analysis:
    • Maintain tender status reports and success tracking.
    • Provide feedback to management on win/loss analysis and pricing strategies.
    Required Qualifications & Skills:
    • Bachelor's or Master's degree in Business, Pharmacy, Biomedical, or related field.
    • Minimum 3–5 years of experience in tender/institutional sales in healthcare or medical devices sector.
    • Strong understanding of PPRA rules and institutional procurement processes.
    • Excellent documentation and communication skills.
    • Strong organizational and time management abilities.
    • Proficiency in MS Office, especially Excel and Word.
    • Ability to work independently under tight deadlines.
    • Experience with military and donor-funded tenders.
    • Familiarity with ERP/CRM systems.
    • Knowledge of regulatory certifications.
