This full-time remote role combines executive support, administration, research, customer management, and accounting. A highly organized and experienced individual is sought to support business operations.

Job OverviewKey responsibilities include:
  • Secretarial & Executive Support: managing calendars, scheduling meetings, preparing agendas, taking minutes, maintaining action logs, coordinating travel and bookings, drafting correspondence, and preparing professional presentations.
  • Administration & HR: maintaining staff files and records, tracking attendance/leave, assisting in onboarding, managing contracts and documentation, handling office records, and ensuring organized digital filing systems.
  • Research & Reporting: conducting market, business, and competitor research, preparing summaries, briefing notes, and reports, compiling weekly/monthly KPI dashboards, and supporting management with analysis and insights.
  • Customer & Sales Support: responding to inquiries, preparing quotations and statements, maintaining CRM data, following up on service requests, coordinating deliveries, and ensuring service SLAs are met.
  • Procurement & Vendor Management: requesting and comparing supplier quotations, preparing and tracking purchase orders, coordinating with vendors and logistics, and maintaining accurate procurement records.
  • Finance & Accounting: bookkeeping, accounts payable/receivable, bank and cash reconciliations, monthly closings, invoicing, collections follow-ups, petty cash management, expense control, budget tracking, and preparation of financial and management reports.
Requirements
  • A degree or certification in Accounting/Finance.
  • Minimum 6 years of relevant experience.
  • Proficient in QuickBooks, Excel/Sheets, and office productivity tools.
  • Excellent English (written/spoken), with strong organizational and communication skills.
  • Reliable remote work setup with full-time availability during assigned hours.
Preferred Skills
  • Strong research and analytical writing skills.
  • Advanced Excel (pivot tables, formulas, dashboards).
  • Presentation design (PowerPoint, Google Slides, Canva).
  • Familiarity with CRM and project management tools (e.g., Trello, Notion, Monday).
  • Ability to multitask, prioritize, and manage competing deadlines.
  • High level of discretion and professionalism in handling sensitive information.
