The Operations Partner - Statutory Compliance plays a pivotal role in ensuring full adherence to applicable legal and regulatory frameworks, supporting HR operational compliance, and overseeing administrative functions critical to plant operations.
This position is responsible for maintaining a safe, ethical, and legally compliant workplace while driving consistency in internal HR processes and fostering a culture of accountability and engagement.
The incumbent will ensure full compliance with statutory regulations, including PF, ESI, Labour Laws, Shops & Establishment Act, and Factories Act. They will also obtain new factory and labour licenses, oversee timely renewals, and manage approvals for factory layout changes and shifts.
A key aspect of this role is preparing and submitting all statutory returns (monthly, quarterly, half-yearly, annual) to relevant authorities. The incumbent will also manage statutory payments and fees related to license renewals, employee strength changes, and facility modifications.
Maintaining compliance registers, records, and documentation to meet inspection and audit standards is another crucial responsibility. The incumbent must remain audit-ready for inspections from authorities such as Labour Departments, Directorate of Factories, Pollution Control Board, and Customer Auditors.
Additionally, they will monitor contract labour compliance in coordination with the admin team, validate contractor adherence to statutory norms, recommend corrective actions, and drive implementation.
The incumbent will track minimum wage notifications, skill/category-based wage updates, and ensure proper wage implementation. They will review vendor compliance documentation and drive improvements where necessary.
Effective management of the complete documentation from recruitment to exit formalities is essential. Ensuring payroll compliance, including timely processing of payroll inputs, is also a key responsibility.
The incumbent will manage gratuity settlements and employee insurance processes (GMC, GPA). Leading and maintaining statutory committees, including Works Committee, POSH Committee, Grievance Redressal Committee, Safety Committee, is also a vital part of this role.
Ensuring legal adherence to committee mandates, meeting schedules, and documentation is critical. The incumbent will ensure health, hygiene, and safety compliance across factory premises.
Promoting a positive workplace culture through employee feedback, grievance redressal, and communication is also an essential duty.
Implementing employee welfare schemes in line with company values and statutory obligations and implementing and monitoring employee well-being programs, including health check-ups, wellness campaigns, and awareness drives, are key aspects of this role.
Coordination with local medical partners for regular health assessments and maintaining records for occupational health and safety compliance are also important responsibilities.
Monitoring hygiene, sanitation, and safety practices in alignment with legal and company standards and planning and implementing welfare activities, festivals, engagement programs, and recognition events are other key duties.
Managing vendor relationships and support for admin is also a critical function.
KPIs include timely filing of all statutory returns, accuracy and completeness of statutory records and registers, zero non-compliance observations in audits and inspections, timely renewal of licenses and registrations, up-to-date implementation of labour law amendments, and more.
The ideal candidate will have 7-9 years of relevant experience in HR, statutory compliance, and administration. Mandatory experience working in a manufacturing setup, preferably food or dairy industry, is also required.
A strong understanding of labour laws, Factory Act, and payroll/statutory systems is essential. Hands-on experience with Social Compliance audits and proficiency in SAP, SuccessFactors, and MS Office are also preferred skills.
Excellent communication, interpersonal, and stakeholder management skills are necessary for success in this role. The ability to work independently and cross-functionally with Production, Quality, Maintenance, etc., is also critical.
The job requires a postgraduate degree in MBA / PGDM / MSW or a related field.
