We are seeking an experienced Executive Assistant to join our team at Accounts Automated.

This is a unique opportunity to work with a leading accounting firm that offers comprehensive bookkeeping, accounting, tax, and advisory services.

As an Executive Assistant, you will play a crucial role in supporting our executive team in their day-to-day activities. This includes managing schedules, coordinating meetings, and handling confidential information.

Key Responsibilities:

  1. Manage the calendars of senior executives, including scheduling meetings, appointments, and travel arrangements.
  2. Handle incoming and outgoing communications on behalf of the executives, including emails, phone calls, and written correspondence.
  3. Coordinate meetings, including booking venues, preparing agendas, and taking minutes.
  4. Prepare and edit documents, reports, and presentations with a high degree of accuracy and professionalism.
  5. Arrange domestic and international travel, including flights, accommodations, and itineraries.
  6. Maintain strict confidentiality and discretion with all sensitive information and communications.
  7. Assist with office management tasks, including ordering supplies, maintaining records, and coordinating with vendors.
  8. Provide support on special projects and initiatives as required by the executive team.
  9. Build and maintain strong relationships with internal and external stakeholders.
  10. Manage incoming and outgoing calls via Zoom.

Requirements:

  1. Minimum 3 years of experience as an Executive Assistant or in a similar administrative role.
  2. Relevant diploma or degree in business administration or a related field is preferred.
  3. Excellent organizational and time-management skills, strong written and verbal communication abilities, and proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Must speak fluent English.
  4. Proactive, detail-oriented, adaptable, and able to work independently as well as part of a team.
  5. High level of professionalism and the ability to handle sensitive and confidential information with discretion.
