Customer Service Representative Job Description

The primary objective of this role is to provide exceptional customer service by addressing and resolving service inquiries and problems in a timely and efficient manner.

Key Responsibilities:
  • Receive and attend to walk-in customers, handling their service inquiries and problems.
  • Answer and book telephone calls from customers, collecting relevant information about their complaints.
  • Prepare job cards, providing repair time and cost estimates to customers at the point of receiving the unit or booking a field complaint.
  • Maintain accurate follow-up and coordinate with workshop and field supervisors to ensure up-to-date information on repair status.
  • Notify customers of any changes to repair time, cost, or scope of work agreed upon.
  • Coordinate with workshop supervisors for the delivery of repaired units to customers.
  • Complete job cards accurately after repair and forward them to the accountant for invoicing purposes.
  • Prepare and maintain necessary documents and reports.
Job Specification:

Ensure precise and timely data entry in CSD software, submitting daily reports to Head Office.

Minimize Repair Turnaround Time through effective customer interaction, parts procurement, and data entry on a daily basis, while following up with ASC for timely job completion.

Maintain a record of complaints and ensure conformance related to complaints documentation.
