Administrative Support Specialist

As an Administrative Support Specialist, you will be responsible for providing a range of administrative services to support the smooth operation of our organization. Your primary duties will include:

  • Front Desk Operations
  • Meeting and Event Planning
  • Attendance and Time Management
  • Courier and Mail Services
  • Travel Arrangements
  • Document Preparation and Editing
  • Procurement and Inventory Management

Our ideal candidate will possess excellent organizational and communication skills, with the ability to work independently and as part of a team. A minimum of a Bachelor's degree and 3-5 years of experience in a similar role is preferred.

Key Responsibilities:

  1. Efficiently manage front desk operations, including handling incoming and outgoing mail, courier deliveries, and maintaining accurate attendance records.
  2. Provide logistical support for meetings, appointments, and video calls for senior management.
  3. Assist with document preparation, editing, and minute-taking as required.
  4. Manage projects and organize events as needed.
  5. Coordinate travel arrangements, including flights, accommodation, itineraries, and visas for all senior management.

Requirements:

  • Bachelor's degree or higher.
  • Minimum 3-5 years of experience in a similar role.
  • Proficiency in operating PABX systems.
  • Experience in business-related travel arrangements and administrative support.
  • Familiarity with utility agencies and correspondence with vendors.
  • Knowledge of office security, maintenance, and vehicle insurance processes.
