Event Coordinator

About the Position:

  • We are seeking a detail-oriented Event Coordinator to join our team.
  • The ideal candidate will have experience in event planning, design, and production, with a focus on logistics and operations.
  • You will be responsible for coordinating with clients to understand their needs and preferences, and delivering high-quality events that meet their expectations.
  • Your expertise in market research, negotiation, and contract management will help us secure new business opportunities.
  • In addition to event planning, you will also provide administrative support to stakeholders, propose solutions to improve our services, and ensure compliance with relevant regulations.
  • You will work closely with marketing and PR teams to promote events, specify staff requirements, and coordinate their activities.
  • A proactive approach is essential, as you will need to handle any arising issues on the event day and conduct thorough evaluations.
  • If you have experience in digital marketing, data analysis, and creating detailed product requirements documents, this could be an ideal opportunity for you.

Key Responsibilities:

  • Coordinate events, manage logistics, and ensure smooth execution.
  • Liaise with clients to identify their needs and ensure customer satisfaction.
  • Conduct market research, gather information, and negotiate contracts prior to closing deals.
  • Provide administrative support and periodic reports to stakeholders.
  • Propose solutions to improve provided services and event quality.
  • Organize facilities, manage event details, and ensure compliance with insurance, legal, health, and safety obligations.
  • Specify staff requirements, coordinate their activities, and cooperate with marketing and PR to promote and publicize events.
  • Proactively handle any arising issues and troubleshoot emerging problems on the event day.
  • Conduct pre- and post-event evaluations and report on outcomes.
  • Research market opportunities and generate interest in events.
  • Promote business through available sources, including cold calling, emails, and social media.
  • Keep pace with industry trends and developments and report changes as needed.
  • Create detailed product requirements documents and work with design and development teams to execute flawlessly.
  • Proactively communicate with users to adjust needs and requirements.
  • Help define and execute online strategies for products.
  • Own KPIs associated with digital channels.
  • Create and monitor dashboards to track performance and achievement of business objectives.
  • Create competitive differentiation by delivering a best-in-class online experience.
  • Develop strategies and tactics to drive increases in overall traffic, web registrations, and web claims.
