Personal Assistant To Director

This role encompasses providing high-level support services to ensure the seamless operation of office functions.

Main Responsibilities:
  1. Office Administration: Develop, implement, and maintain efficient office systems, including data management and filing procedures.
  2. Travel Coordination: Arrange business travel, visas, and accommodation as required. Occasionally accompany the manager to take notes or provide general assistance during presentations.
  3. Communication Management: Screen phone calls, enquiries, and requests; handle them accordingly when necessary.
  4. Visitor Protocol: Meet and greet visitors at all levels of seniority.
  5. Scheduling Management: Organize and maintain diaries, making appointments as needed.
  6. Email and Correspondence: Handle incoming email, faxes, and post; correspond on behalf of the Director when required.
  7. Research Support: Conduct background research and present findings to inform decision-making.
  8. Document Preparation: Produce documents, briefing papers, reports, and presentations in a timely and accurate manner.
  9. Meeting Planning: Organize and attend meetings; ensure the Director is well-prepared for these events.
  10. Liaison and Collaboration: Establish and maintain relationships with clients, suppliers, and other staff members.
  11. Project Execution: Carry out specific projects and research tasks as assigned by the Director.
  12. Financial Oversight: Manage accounts and budgets within the team.
  13. Leadership Development: Take on some of the Director's responsibilities, working closely with management to achieve goals.
  14. Delegation and Decision-Making: Deputize for the Director in their absence, making decisions and delegating work to others as necessary.
  15. Critical Problem-Solving: Contribute to decision-making processes and provide expert advice to inform strategic choices.
