Overview

We are seeking a highly skilled Operations and Events Coordinator to oversee the management of our corporate office premises and Almonzo Auditorium.

This role combines operational expertise with client relations and event execution, requiring proficiency in facility upkeep, vendor management, event coordination, and technical equipment maintenance.

Key Responsibilities:
  • Facilities Management:
    • Ensuring cleanliness and hygiene in workspaces, restrooms, and common areas.
    • Supervising janitorial and maintenance staff to maintain high standards.
    • Overseeing office aesthetics, including decoration, lighting, and greenery.
    • Managing utilities such as HVAC, generators, plumbing, and electrical systems.
    • Implementing security protocols, including CCTV monitoring, access control, and visitor management.
    • Conducting regular fire safety inspections and emergency preparedness training.
  • Client Relations & Pre-Sales:
    • Acting as the main point of contact for local & international clients.
    • Managing event inquiries, proposals, and bookings.
    • Providing venue tours and tailored event proposals to potential clients.
    • Closing deals and driving event sales revenue.
  • Event Execution & Coordination:
    • Planning and managing corporate events, seminars, and workshops.
    • Ensuring seamless event setup, including seating, sound, and visuals.
    • Coordinating with catering services, vendors, and on-site staff.
    • Providing on-the-spot troubleshooting to resolve event-day challenges.
  • Technical & Equipment Oversight:
    • Supervising and maintaining projectors, sound systems, lighting, and AV setups.
    • Ensuring all microphones, screens, and staging setups are functioning optimally.
    • Maintaining backup power solutions for uninterrupted events.
    • Overseeing technical maintenance of AC & HVAC Systems – Overseeing periodic servicing & troubleshooting.
    • Inspecting fire alarms, extinguishers & emergency routes for fire safety systems.
    • Maintaining CCTV, biometric access, and alarm systems for security infrastructure.
    • Ensuring smooth communication networks for telephony & internet systems.
    • Negotiating contracts with vendors and service providers for maintenance.
    • Tracking and optimizing operational budgets related to facilities & event execution.
