Role Overview

The Finance Officer will be responsible for maintaining accurate financial records, supporting budget preparation and monitoring, ensuring compliance with accounting standards and donor requirements, and assisting in grant financial management. The role requires strong analytical skills, attention to detail, and the ability to collaborate effectively with program and audit teams.

A. Roles and Responsibilities

  1. Maintain accurate and up-to-date accounting records using accounting software.

  2. Process accounts payable and accounts receivable transactions.

  3. Reconcile bank statements and other financial accounts.

  4. Assist in the preparation of annual budgets and budget revisions.

  5. Monitor budget performance and conduct variance analysis.

  6. Provide support to department heads in budget planning and tracking.

  7. Prepare monthly, quarterly, and annual financial reports.

  8. Assist in the preparation of grant financial reports and donor financial statements.

  9. Ensure compliance with accounting standards and financial reporting requirements.

  10. Assist in the financial management of grants, including budgeting, reporting, and compliance.

  11. Maintain grant-related documentation and financial records.

  12. Collaborate with program managers to ensure effective and compliant utilization of grant funds.

  13. Assist in audit preparation and liaise with auditors during audit processes.

  14. Provide supporting documents, schedules, and financial explanations as required.

  15. Implement audit recommendations and strengthen internal controls.

  16. Conduct financial analysis to support decision-making and organizational performance.

  17. Prepare financial forecasts and projections.

  18. Identify financial trends and areas for improvement based on data analysis.

B. Key Performance Indicators (KPIs)

  1. Accounting Record Accuracy: Accuracy of accounting records maintained using software.

  2. Transaction Processing Timeliness: Timely processing of payable and receivable transactions.

  3. Bank Reconciliation Accuracy: Accuracy and completeness of bank statement reconciliations.

  4. Budget Support: Timeliness and accuracy of budget planning and monitoring support.

  5. Financial Reporting Assistance: Accuracy and timeliness of financial reports submitted.

  6. Grant Financial Management Compliance: Compliance rate with donor and grant financial requirements.

  7. Audit Support Efficiency: Timeliness and quality of audit preparation and documentation.

  8. Financial Analysis Quality: Accuracy, relevance, and completeness of financial analysis.

  9. Forecast Accuracy: Degree of accuracy in financial forecasts and projections.

  10. Trend Identification: Number and quality of financial trends or improvement areas identified.

Minimum Requirements

Education:

Bachelor's degree in Finance, Accounting, Commerce, or Business Administration (B.Com, BBA, BS Accounting & Finance).

Master's degree (MBA/M.Com) is a plus.

Experience:

Minimum 2–4 years of relevant experience, preferably within the NGO sector and in:


• Accounting & bookkeeping


• Accounts payable/receivable


• Bank reconciliation


• Financial reporting


• Budgeting & variance analysis


• Grant financial management (Preferred in NGO/Nonprofit sector)

Technical Knowledge:


• Strong understanding of accounting standards and reporting procedures


• Knowledge of donor compliance and grant-related documentation


• Familiarity with audit processes and internal controls


• Hands-on experience in budget preparation and monitoring
