We are looking for a Back Office & Admin Executive to manage day-to-day office operations, handle vendor coordination, and keep our workspace running efficiently. The right person will be organized, proactive, and confident in managing administrative workflows while supporting internal teams and solving problems as they arise.
Must-Have Skills
- 2–3 years of relevant experience in administration or back-office operations
- Proficiency in MS Office (Excel, Word, PowerPoint, Outlook)
- Strong organizational and multitasking abilities
- Excellent verbal and written communication skills
- Problem-solving mindset with the ability to work independently
The Ideal Candidate Has the Ability To
- Communicate effectively with vendors, partners, and internal teams
- Prioritize tasks and manage multiple deadlines smoothly
- Maintain accurate records, reports, and office documents
- Spot operational gaps and proactively find solutions
- Support a fast-paced work environment without losing attention to detail
Key Responsibilities
- Handle daily office administration and back-office tasks
- Manage vendor relationships, payments, and service coordination
- Maintain organized filing systems and records (digital & physical)
- Oversee office inventory, procurement, and supplies
- Assist with onboarding and maintaining employee documentation
- Prepare basic reports, manage budgets, and track office expenses
- Resolve minor operational issues quickly and effectively
- Support managers and teams to ensure smooth business operations
Requirements
- Education: Bachelor's degree (Business Administration preferred)
- Experience: 2–3 years of relevant administrative or back-office experience
- Comfortable working in a structured yet dynamic environment
- Ability to work both independently and collaboratively
Preferred Qualifications
- Prior experience in a BPO, outsourcing, or corporate office environment
- Familiarity with handling vendor negotiations and office expense tracking
- Exposure to supporting cross-functional teams and multiple stakeholders
