Role Overview

We are seeking a highly capable and driven Operations Manager to lead, support, and develop a high-performing cross-functional team of white-collar professionals across multiple departments. The ideal candidate will be responsible for hiring, managing, training, and maintaining an efficient, clean, and productive office environment while ensuring consistent delivery of accurate, timely results with minimal supervision. The role requires strong initiative, ownership, and the ability to drive results without micromanagement.

Job Responsibilities

  • Recruitment & Hiring:
    • Hire and onboard both experienced professionals and entry-level talent across departments.
    • Identify and recruit individuals with strong potential and a results-oriented mindset.
  • Team Management & Development:
    • Train, coach, and counsel team members to improve performance and build a reliable team of "A Players."
    • Delegate tasks effectively and ensure individual ownership with minimal need for follow-up.
    • Address performance issues promptly and professionally.
    • Promote a culture of responsibility, communication, and self-motivation.
    • Conduct internal reviews and incorporate feedback to enhance team effectiveness.
    • Develop team members to take initiative and operate independently after initial guidance.
  • Workplace Operations:
    • Maintain a clean, organized, and operational office environment.
    • Ensure all equipment is functional, nothing is wasted, and no irrelevant or idle resources (including electricity) are used.
    • Take ownership of ensuring operational readiness at all times.
  • Team Building & Performance:
    • Build a results-driven team that delivers fast, accurate, and reliable work.
    • Foster a work-first attitude, accountability, and clear communication without the need for a fixed job description.
    • Encourage and cultivate a sense of ownership and responsibility across team members.
  • Time Management & Task Execution:
    • Set clear expectations and ensure timely task and project completion.
    • Monitor task backlog, resolve bottlenecks, and escalate blockers when needed.
    • Manage day-to-day progress across departments and ensure workload prioritization.
    • Anticipate delays and act early to keep initiatives on track.
  • KPI Monitoring & Performance Tracking:
    • Define, monitor, and report on team and individual performance metrics (KPIs).
    • Analyze trends to identify performance gaps and drive improvements.
    • Ensure data-backed reporting is shared with leadership consistently.
    • Use KPIs to promote accountability and outcome-based evaluation.
  • Initiative & Proactive Behavior:
    • Take ownership of problems and drive them to resolution without constant supervision.
    • Propose improvements to tools, workflows, and team structure.
    • Maintain forward momentum on tasks and goals regardless of external prompting.
    • Actively seek and implement ways to improve operational efficiency.
  • Standards & Compliance:
    • Ensure no repeated mistakes are made.
    • Set and uphold high standards for work ethic, responsibility, and professional behavior.
    • Maintain discipline without micromanaging.
    • Document, maintain, and enforce standard operating procedures (SOPs) across departments.
  • Process Management & Workflow Optimization:
    • Design, implement, and continuously improve internal workflows and operational systems.
    • Ensure consistency and compliance across departments by maintaining SOPs.
    • Review processes regularly to identify and fix inefficiencies or redundancies.
  • Communication & Reporting:
    • Maintain consistent and clear communication with leadership.
    • Provide structured progress reports, operational updates, and issue logs.
    • Communicate expectations and provide direction to the team without ambiguity.
  • Decision-Making & Autonomy:
    • Make independent, day-to-day decisions aligned with company priorities.
    • Minimize escalations by using sound judgment and taking ownership of outcomes.
    • Anticipate and resolve operational issues proactively.
  • Continuous Improvement & Adaptability:
    • Regularly solicit and incorporate feedback to improve personal and team effectiveness.
    • Adjust plans and priorities in response to changing needs and challenges.
    • Demonstrate adaptability and a growth mindset under pressure or uncertainty.
