Position Overview
The Department Coordinator is the central link between teachers, students, and management at SourceCode Academy.
They handle daily academic operations, communication, scheduling, and reporting to ensure classes, training sessions, and departmental goals run efficiently. This role demands strong organizational skills, excellent written communication, and the ability to maintain smooth relationships between faculty, students, and the company.
Key Responsibilities
1. Teacher & Student Coordination
- Act as the primary contact for all teacher and student queries.
- Manage class schedules, rescheduling, and announcements.
- Ensure teachers have updated lesson plans, attendance sheets, and required resources.
- Maintain student progress records, attendance, and performance updates.
- Collect and address student feedback, forwarding key insights to the Department Lead.
- Support teachers in managing classroom engagement and reporting any academic issues.
2. Academic & Operational Support
- Assist in organizing classes, workshops, and department events.
- Coordinate between teachers, curriculum developers, and management for timely execution.
- Ensure proper documentation of academic processes and communication logs.
- Oversee onboarding and support for new teachers or interns.
- Track deadlines for reports, evaluations, and departmental submissions.
3. Company Relationship & Communication
- Represent the department in cross-department and management meetings.
- Maintain smooth communication with HR, Marketing, and Admin teams for departmental needs.
- Ensure that updates, announcements, and key messages from the company reach teachers and students clearly and on time.
- Coordinate feedback or information required by other departments (e.g., upcoming courses, new initiatives).
4. Quality Assurance & Reporting
- Prepare weekly and monthly reports on classes, attendance, and student engagement.
- Maintain dashboards and trackers for teacher performance and student satisfaction.
- Identify gaps or challenges and propose actionable solutions to the Lead/Director.
- Assist in internal audits or evaluations to ensure quality standards are met.
5. Administrative Excellence
- Keep all departmental data, records, and documents updated and organized.
- Draft professional communications, circulars, and meeting notes.
- Maintain digital and physical filing systems for all reports and class data.
- Support event logistics, scheduling, and documentation needs.
Eligibility Criteria
Education:
- Bachelor's or Master's degree in Education, Management, Communication, or relevant field.
- Certification in Teaching, Coordination, or Office Management preferred.
Experience:
- 2–4 years of experience in academic coordination, administration.
- Experience in handling teacher/student operations or academic reporting preferred.
- Familiarity with LMS, Website Student Portals, Google Workspace, and Zoom-based classes is a plus.
Skills Required:
- Strong written and verbal communication skills.
- Excellent reporting and documentation abilities (Excel/Sheets mastery preferred).
- Confident in handling teacher-student interactions and multitasking.
- Organized, punctual, and detail-oriented with a calm problem-solving attitude.
- Proficiency in English.,
