We are seeking a highly skilled and detail-oriented Senior Executive – US Payroll to lead payroll compliance and ensure accurate processing of payroll taxes across Federal, State, and Local levels. This role requires deep expertise in U.S. payroll taxation, including IRS payroll regulations, FICA, Medicare, FUTA, state-specific laws, and multi-jurisdictional compliance. The ideal candidate will also have proven experience with employee and contractor reporting (W-2, 1099) and will act as a subject-matter expert in payroll tax compliance.

Key Responsibilities

  • Oversee end-to-end U.S. payroll tax compliance across Federal, State, and Local jurisdictions.
  • Ensure adherence to IRS payroll tax laws, including FICA, Medicare, FUTA, and state-specific requirements.
  • Prepare, file, and reconcile Federal and State payroll tax returns, deposits, and quarterly/annual reports.
  • Manage accurate classification and reporting of employees and independent contractors (W-2, 1099).
  • Monitor and maintain compliance with multi-state payroll tax obligations, including state unemployment insurance (SUTA) and local payroll taxes.
  • Lead payroll tax audits, providing accurate documentation and responding to regulatory inquiries.
  • Collaborate with finance, HR, and compliance teams to resolve payroll-related issues.
  • Maintain up-to-date payroll tax records in accordance with IRS and state documentation standards.
  • Track and evaluate legislative and regulatory changes in U.S. payroll taxation, recommending necessary process and system updates.
  • Provide guidance and mentorship to junior payroll team members.

Requirements

  • Bachelor's degree in Accounting, Finance, Taxation, or a related field (Master's degree or CPA a plus).
  • 3+ years of professional experience in U.S. payroll taxation or payroll compliance, with exposure to complex multi-state payroll.
  • Strong expertise in IRS payroll tax regulations, FICA, Medicare, FUTA, and state-specific payroll compliance.
  • Hands-on experience with W-2 and 1099 reporting and year-end reconciliation.
  • Proficiency in ERPs and payroll systems (ADP, Workday, Oracle, or similar) and advanced MS Excel skills.
  • Excellent analytical, organizational, and problem-solving skills with strong attention to detail.
  • Strong communication and leadership skills with the ability to work independently and guide junior staff.
  • Proven ability to manage multiple priorities and meet strict deadlines in a fast-paced environment.
