Job Summary:
We are seeking a detail-oriented and proactive
Recruitment Coordinator
with exceptional communication skills and hands-on experience using
Applicant Tracking Systems (ATS)
and
ClickUp
. The ideal candidate will have a proven track record of successfully coordinating the end-to-end recruitment process, particularly in hiring talent across
Canada and the United States
. You will play a vital role in supporting our recruitment function, ensuring a seamless candidate experience and efficient hiring workflows.
Key Responsibilities:
- Recruitment Coordination:
- Support the full-cycle recruitment process including job postings, candidate sourcing, screening, interview scheduling, feedback collection, and offer coordination.
- Act as a key point of contact between candidates, hiring managers, and recruiters, ensuring clear communication throughout the hiring process.
- Manage multiple open roles simultaneously across different departments and locations in Canada and the USA.
- Candidate Management:
- Maintain accurate and up-to-date candidate records in the ATS.
- Ensure a high-quality candidate experience through timely follow-ups, status updates, and coordination.
- Collaboration & Communication:
- Liaise with hiring managers to understand job requirements, timelines, and priorities.
- Communicate clearly and professionally with candidates and internal stakeholders, both verbally and in writing.
- ATS & Workflow Management:
- Utilize the Applicant Tracking System (ATS) to manage job postings, applications, interview workflows, and candidate data.
- Track key hiring metrics and provide regular reports on recruitment status.
- ClickUp Project Coordination:
- Use
ClickUp
to manage recruitment-related projects, checklists, deadlines, and documentation. - Create and maintain recruitment dashboards, task assignments, and hiring pipeline boards in ClickUp.
- Process Improvement:
- Contribute to the continuous improvement of recruiting processes and candidate experience.
- Provide feedback and suggestions on improving tools, systems, and workflows.
Requirements:
- Experience:
- 5+ years of experience in a recruitment or talent acquisition support role.
- Proven experience hiring or coordinating recruitment in
Canada and the USA
. - Experience working in a high-volume, fast-paced environment.
- Technical Skills:
- Proficient in using
Applicant Tracking Systems (ATS)
(e.g., Workable, Lever, Greenhouse, JazzHR, or similar). - Strong experience with
ClickUp
(task creation, pipeline tracking, reporting, integrations). - Proficient with Google Workspace (Docs, Sheets, Gmail, Calendar).
- Communication:
- Outstanding written and verbal communication skills.
- Ability to maintain professionalism in all candidate and stakeholder interactions.
- Organizational Skills:
- Highly organized with the ability to prioritize tasks and manage multiple open requisitions simultaneously.
- Detail-oriented with a commitment to accuracy and data integrity.
Preferred Qualifications:
- Prior experience working with recruitment agencies or internal talent teams for North American markets.
- Understanding of employment laws and recruitment practices in Canada and the USA.
- Experience working in remote or distributed teams.
