Job Summary:

We are seeking a detail-oriented and proactive
Recruitment Coordinator
with exceptional communication skills and hands-on experience using
Applicant Tracking Systems (ATS)
and
ClickUp
. The ideal candidate will have a proven track record of successfully coordinating the end-to-end recruitment process, particularly in hiring talent across
Canada and the United States
. You will play a vital role in supporting our recruitment function, ensuring a seamless candidate experience and efficient hiring workflows.

Key Responsibilities:

  • Recruitment Coordination:
  • Support the full-cycle recruitment process including job postings, candidate sourcing, screening, interview scheduling, feedback collection, and offer coordination.
  • Act as a key point of contact between candidates, hiring managers, and recruiters, ensuring clear communication throughout the hiring process.
  • Manage multiple open roles simultaneously across different departments and locations in Canada and the USA.
  • Candidate Management:
  • Maintain accurate and up-to-date candidate records in the ATS.
  • Ensure a high-quality candidate experience through timely follow-ups, status updates, and coordination.
  • Collaboration & Communication:
  • Liaise with hiring managers to understand job requirements, timelines, and priorities.
  • Communicate clearly and professionally with candidates and internal stakeholders, both verbally and in writing.
  • ATS & Workflow Management:
  • Utilize the Applicant Tracking System (ATS) to manage job postings, applications, interview workflows, and candidate data.
  • Track key hiring metrics and provide regular reports on recruitment status.
  • ClickUp Project Coordination:
  • Use
    ClickUp
    to manage recruitment-related projects, checklists, deadlines, and documentation.
  • Create and maintain recruitment dashboards, task assignments, and hiring pipeline boards in ClickUp.
  • Process Improvement:
  • Contribute to the continuous improvement of recruiting processes and candidate experience.
  • Provide feedback and suggestions on improving tools, systems, and workflows.

Requirements:

  • Experience:
  • 5+ years of experience in a recruitment or talent acquisition support role.
  • Proven experience hiring or coordinating recruitment in
    Canada and the USA
    .
  • Experience working in a high-volume, fast-paced environment.
  • Technical Skills:
  • Proficient in using
    Applicant Tracking Systems (ATS)
    (e.g., Workable, Lever, Greenhouse, JazzHR, or similar).
  • Strong experience with
    ClickUp
    (task creation, pipeline tracking, reporting, integrations).
  • Proficient with Google Workspace (Docs, Sheets, Gmail, Calendar).
  • Communication:
  • Outstanding written and verbal communication skills.
  • Ability to maintain professionalism in all candidate and stakeholder interactions.
  • Organizational Skills:
  • Highly organized with the ability to prioritize tasks and manage multiple open requisitions simultaneously.
  • Detail-oriented with a commitment to accuracy and data integrity.

Preferred Qualifications:

  • Prior experience working with recruitment agencies or internal talent teams for North American markets.
  • Understanding of employment laws and recruitment practices in Canada and the USA.
  • Experience working in remote or distributed teams.
