Job Description:

We are seeking a proactive and detail-oriented Export Documentation Officer to join our team. This role involves efficient shipment planning, timely communication with carriers and shippers, and meticulous handling of shipping documentation. The ideal candidate will possess strong organizational skills, excellent communication abilities, and proficiency in relevant shipping software.

Responsibilities:

Follow up with customer service team to receive shipment planning in advance & ensure to meet the carrier deadline.

Strong follow up with shipper's/ Exporter to ensure all details are available well in advance to fulfill carrier's requirement.

Shipping Instructions Submission To Carrier/Co-Loaders (Online Carrier Web Portal / Manual over email)

Follow Up for receiving MBL draft from shipping carrier's/co-loaders.

Sending of Pre-Alerts/Manifest to multiple overseas Agents with in the given time frame without any exception.

Checking of HBL/MBL & ensure all details are perfectly matching & reflecting each other as requested by shipper.

Keeping track of VGM filing at carrier's online portal.

Follow up with courier services (TCS for inland), (DHL for Overseas) shipments to receive their invoices & arranging timely payments.

Keeping track of documents dispatching for local customer's & overseas agent with an email notification.

Follow up with other team mates regarding invoicing, applicable charges as per Managers direction, creation & updating of HBL's as per shipper's request.

Keeping track of outstanding payments & follow up as per management guidance.

Ensure files processing vessel to vessel in a timely manner.

Must have knowledge of operating Climax software.

Verbal & written (email) communication should be excellent.

All other task as requested by management on adhoc basis.

Qualifications:

Previous experience in a similar role preferred.

Strong organizational and time management skills.

Ability to work under pressure and meet tight deadlines.

Proficiency in Climax software preferred.

Bachelor's degree.
