Position Summary:
The Junior Specialist Human Resources (Operations) is responsible for providing day-to-day support in HR operations, including recruitment coordination, payroll processing, leave and attendance management, employee records, and grievance handling. The role ensures accuracy, compliance, and efficiency in HR processes, while supporting a positive employee experience across the organization.
Key Responsibilities:
- Manage end-to-end recruitment operations, including job postings, CV screening, interviews, selection, and offer issuance.
- Collaborate with managers on workforce planning and implement effective recruitment strategies to meet organizational talent needs.
- Administer payroll processing accurately and on time, ensuring compliance with company policies and statutory requirements.
- Maintain and update employee records related to attendance, leave management, EOBI, IESSI, group insurance, and other benefits.
- Oversee employment contract lifecycle (issuance, renewals, amendments) and ensure compliance with labor laws and internal policies.
- Manage onboarding and offboarding processes, ensuring smooth employee integration and compliant exit formalities, including final settlements.
- Address and resolve employee grievances professionally, maintaining confidentiality and fostering a positive workplace environment.
- Ensure timely issuance of employment-related documents such as appointment letters, contracts, confirmations, and experience certificates.
- Support HR audits and ensure data accuracy, compliance, and readiness of employee records.
- Track and analyze HR KPIs (turnover, absenteeism, payroll accuracy, etc.) to support operational improvements.
- Support and coordinate Training & Development initiatives based on identified needs.
- Assist in HR automation/digitalization projects (e.g., Oracle Fusion, HRIS updates) to enhance operational efficiency.
- Perform any other HR-related tasks as assigned by the Lead.
Qualifications & Skills:
- Master's degree in human resources or related field (HR certifications such as CHRP, aPHR preferred).
- 4–5 years of proven experience in HR operations.
- Strong knowledge of HR functions, labor laws, and best practices.
- Excellent presentation, reporting, and analytical skills.
- Proficient in MS Office (Word, Excel, PowerPoint) and HR systems/HRIS.
- Strong written and verbal communication skills.
- Ability to work well under pressure and meet tight deadlines.
- Good time management and organizational skills.
- High level of accuracy with strong attention to detail.
- Ability to maintain confidentiality and follow instructions effectively.
