Administration & Security Manager

Job Purpose
To oversee and manage all administrative, security, and housekeeping functions of the facility. This role ensures smooth day-to-day operations, a safe and secure environment, and the highest standards of cleanliness and hygiene across all areas.
Key ResponsibilitiesAdministration & Coordination
- Manage daily administrative operations, records, and documentation.
- Ensure effective communication between management, staff, and external vendors.
- Oversee procurement and inventory of office and facility supplies.
- Assist with HR-related tasks, including attendance, scheduling, and staff onboarding.
- Prepare and submit reports on administration, security, and housekeeping performance.
Security & Safety
- Supervise all security operations including access control, CCTV monitoring, and incident reporting.
- Develop and enforce security policies and emergency procedures.
- Conduct regular security checks and coordinate with law enforcement/emergency services when required.
- Train and schedule security personnel to ensure coverage of all key areas.
- Maintain a safe and secure environment for staff, members, and visitors.
Housekeeping & Hygiene
- Ensure all facility areas (studios, gym floor, restrooms, reception, and common spaces) are maintained to the highest standards of cleanliness.
- Supervise housekeeping staff, assign duties, and monitor performance.
- Maintain inventory of cleaning materials and ensure proper usage.
- Conduct routine inspections to uphold hygiene and safety standards.
- Coordinate with maintenance for repairs and facility upkeep.
Requirements
- Bachelor's degree in Business Administration, Facility Management, or related field.
- Minimum 7–8 years of experience in administration, facility supervision, or hospitality management.
- Strong leadership and team management skills.
- Knowledge of security systems, health & safety regulations, and housekeeping standards.
- Proficiency in MS Office and facility management software.
- Excellent organizational, communication, and problem-solving abilities.
