Job Purpose

This role is part of the Sales Facility Function. It aims to provide all administration services such as transport, telecommunication, building maintenance and travel ensuring the efficient utilization of resources and smooth operations of the Business

Key Accountabilities
  • Arrange proper upkeep and maintenance of the site in order to ensure high standard of housekeeping.
  • Impart training to contractors and their employees in HSE aspects to ensure that they do not violate the HSE rules, regulations and procedures and comply with the requirements of the Permit-to-Work system.
  • Monitor & control the administrative revenue and capital budgets of the Business, ensuring cost effective controls, efficient utilization of resources and timely delivery of admin support services.
  • To arrange proper maintenance of Company assets such as furniture, fixture and equipment in order to ensure that their economic life is enhanced and they function satisfactorily.
  • To organize and effectively manage support services i.e. transport, telecommunication, office stationery, janitorial services, gardening services, Lahore canteen facility and scrap yard in accordance with Business requirements and budgeted resources.
  • To organize and manage the fleet and scheme cars and ensuring excellent condition of the cars.
  • To supervise train & develop reporting staff ensuring efficient delivery of administrative services and compliance with HSE standards of the Company.
  • To liaise and maintain good working relationships with external agencies such as Police, Telephone, Airport, LDA, WASA, Wapda, Sui Gas, ensuring issues/complaints are addressed/redressed expeditiously.
  • To achieve departmental HSE objective by ensuring implementation of Departmental HSE Plan and the departmental Safety Improvement Team for continued improved HSE performance.
  • To manage the contracts of all outsourced services, in accordance with relevant Company rules and HSE standards.
  • Arrange purchase of relevant assets at lowest prices as well as arrange timely sale of scrap items and relevant fixed assets at the highest prices in order to ensure, in both cases, that Company's financial resources are fully safeguarded.
  • Leasing of scheme car, reconciliation with bank, monthly rental processing and execute the process of termination & early termination.
  • Handle matters pertaining to renewal of dangerous petroleum "form M" & form" L" in coordination with ISC team.
  • Issue work permits for any repair, maintenance or safety related working at Lahore site.
  • Handle the travel desk. Manage Domestic & internation travel documentation, hotel reservation, invoices and payment processing.
Education & Experience

Graduate preferably with an MBA Degree, 2-3 years' relevant experience, Computer literate, having good communication & interpersonal skills.
