We are looking for an experienced AI Agent / Automation Engineer to build a virtual receptionist capable of handling end-to-end client interactions.

Responsibilities

1. Call Handling

  • Answer incoming client calls.
  • Book appointments on integrated calendars (Google Calendar / Outlook).
  • Confirm appointments via WhatsApp, SMS, or Email.

2. CRM Updates

  • Log all calls, appointments, and notes automatically in the CRM (HubSpot, Zoho, Salesforce, or similar).

3. Onboarding Calls

  • Conduct automated or semi-automated onboarding calls using a voice agent with scripted flows.
  • Gather client details and update them in the CRM.

4. Invoicing & Payments

  • Generate invoices via PayPal API / Stripe API.
  • Send invoice links to clients and track payment status.
  • Update CRM records automatically.

5. Document Handling

  • Auto-generate contracts or onboarding forms.
  • Send documents via DocuSign API.
  • Track signature status and sync with CRM.

Expertise Required

AI Voice Agent Development

  • Experience with Twilio, Aircall, Dialpad, OpenAI Whisper + GPT-4/5, ElevenLabs.
  • Ability to create human-like conversational flows.

CRM Integration

  • Hands-on experience with HubSpot, Zoho, Salesforce, or custom CRMs.
  • Knowledge of Zapier / for workflow automation.
  • Strong API & webhook expertise.

Calendar Management

  • Google Calendar API / Outlook API integrations.

Payment & Invoicing Automation

  • PayPal / Stripe API for invoice creation and payment tracking.

Document Automation

  • DocuSign API for contracts and signature workflows.

Workflow Orchestration

  • Zapier, Make, LangChain, or custom Python-based automation.

Ideal Candidate

  • Previously built AI customer support or receptionist agents.
  • Strong background in AI + API integrations.
  • Practical experience with voice AI and workflow automation.
  • Understanding of business operations (invoicing, CRM, contracts).
