IN THIS ROLE YOU WILL
Be responsible for overseeing the efficient handling of sales orders from initiation to completion. This role ensures that all orders are processed accurately, in a timely manner, and in compliance with company policies and customer requirements. The position involves close coordination with sales, finance, logistics, and customer service teams to ensure smooth order fulfillment, inventory management, and billing processes. The role is key to maintaining high customer satisfaction through accurate and prompt order processing
HOW CAN YOU EXPRESS YOUR TALENT
- Oversee the processing of customer orders, ensuring that they are entered accurately into the system and processed in a timely manner.
- Review and validate sales orders to ensure compliance with company policies, terms, and pricing agreements.
- Monitor order status throughout the fulfillment process and communicate any delays or issues to relevant stakeholders.
Coordination with Internal Teams:
- Collaborate with sales, inventory management, logistics, and finance teams to ensure all aspects of order fulfillment are aligned.
- Work with the finance team to resolve any billing discrepancies and ensure accurate invoicing.
- Partner with the customer service team to address any order-related inquiries or issues raised by customers.
- Ensure sufficient inventory is available to fulfill orders and coordinate with the logistics team to schedule timely delivery.
- Monitor stock levels and communicate any shortages or delays to the sales team to manage customer expectations.
- Support in optimizing the order fulfillment process to reduce lead times and improve efficiency.
Process Improvement:
- Identify areas for improvement in the sales order processing workflow and implement solutions to enhance accuracy, speed, and efficiency.
- Recommend and implement process automation or software enhancements to streamline order management.
- Develop and maintain standard operating procedures (SOPs) for order processing to ensure consistency and compliance.
Reporting & Metrics:
- Track and analyze key order processing metrics, such as order accuracy, processing times, and fulfillment rates.
- Prepare reports and dashboards for senior management on order processing performance, identifying trends and areas for improvement.
- Monitor key performance indicators (KPIs) to ensure service level agreements (SLAs) are met and customer satisfaction remains high.
Customer Communication:
- Maintain regular communication with customers regarding the status of their orders, providing updates on delivery schedules, delays, or other concerns.
- Assist in resolving any issues related to orders, such as delivery discrepancies, incorrect product shipments, or returns.
- Ensure customer inquiries related to order processing are addressed promptly and professionally.
Compliance & Documentation:
- Ensure all order processing activities comply with company policies, industry regulations, and contractual obligations.
- Maintain accurate records of sales orders, contracts, and related documentation for audit purposes.
- Ensure proper documentation and approval for all sales discounts, special pricing, or contract variations.
Qualifications & Skills:
Education: Bachelor's degree in Business Administration, Sales, Operations, or a related field.
Experience: Experience in sales order processing, sales operations, or a similar role, preferably in the telecom or related industry.
Technical Skills:
- Proficiency in order management systems and CRM platforms (e.g., Salesforce, SAP).
- Experience with ERP systems and inventory management tools.
- Advanced Excel skills and experience with data analysis and reporting tools.
Soft Skills:
- Strong attention to detail and problem-solving skills.
- Excellent communication and interpersonal skills for liaising with customers and internal teams.
- Ability to manage multiple tasks and deadlines in a fast-paced environment.
- Efficient order processing and workflow management.
- Strong collaboration with sales, logistics, and finance teams.
- Data-driven approach to process optimization.
- High customer service orientation and problem-solving ability.
