Job Title: Registry & Exam Support Facilitator
Department: Registry and Exam
Job Type: Full Time & On-site
Job Timings: Monday to Friday (1:00pm to 9:00pm)
Job Purpose
The registry and Exam Support facilitator has an important role within Registry with significant responsibility for supporting the Registrar and assistant registrar. The post holder will undertake a range of administrative and clerical duties to support the work of Registry Services, including timetabling, EXAMS data, attendance requests etc.
Responsibilities
- Monitoring assessments / submissions. Collect grades and exam results and send them to the Awarding Body.
- Check the matrices/Board sheets from AWB and highlight thediscrepancies, where applicable.
- Centralize all the results of the students belonging to the same intake in an internal Board sheet.If possible, update them after each marking deadline.
- Make arrangements for in-class examinations:
- Ensure all examination papers and necessary documentation are delivered safely to all campuses.
- Communicate effectively with relevant departments to ensure that all people with special needs receive support accordingly.
- Produce written guides for staff and students for the smooth running of the exam.
- Safe storage of exam papers and sending them for moderation, if required.
- Organize the Internal Boards before the main Board with the Awarding Body.
- Participate in Pre-Board / Board Meetings where the results for LSST are presented.
- Inform Registry about the Board outcomes.Create the list of Re-take students/Re-sit students.
- Process Extensions / Mitigations. Organize Panels, create outcomes and inform students and the University.
- Work efficiently on any queries, re-mark requests and missing marks following results day, including assisting students in clarification of grades and making contact with exam boards and awarding bodies as necessary.
- Deal with student queries and support them effectively.
- To assist the attendance officer.
- The manual registers will be provided to you by the attendance officer.
- To manage and develop the work carried out by the registry team, making effective use of time and resources to meet the school responsibilities.
- To assist in creating termly timetable for students.
- Assist registry in managing school student records and timetabling systems, working with internal customers, university partners and external regulators.
- Assist in maintaining an accurate student record on Student Management System (SMS) and on new SITS Software.
- To be able to timely and accurately administer the day-to-day processing of all incoming student record information, undertaking active data quality verification exercises and running various routines to calculate and update data.
- To work with and support other departments as and when required.
Skills and Experience Required
• Candidate should be fluent in English.
• + 2 years of experience
• Previous experience in customer service or call centre will be welcomed.
• A high level of professionalism and ability to maintain confidentiality.
• Good Microsoft office skills specially MS Excel
• A high level of proficiency in the use and management of student record information systems; preference will be given to those who have worked with the similar student management system.
• Strong organizational, analytical, and problem-solving skills
• A high level of professionalism and ability to maintain confidentiality.
• Highly developed organizational, communication and presentation skills to handle student queries over the phone and support them effectively.
