We are seeking a highly organized and detail-oriented Tender Documentation Executive to lead the preparation, formatting, and submission of pharmaceutical tenders for local markets. The candidate must demonstrate strong document management skills, data handling capabilities, and proficiency in advanced document formatting tools.

  • Identify and analyze tender opportunities through public and private procurement platforms.
  • Prepare, compile, and format tender documents, ensuring compliance with RFP requirements.
  • Enter, manage, and organize large volumes of data efficiently in Excel and Word.
  • Merge, compress, and format PDF documents; add bookmarks, hyperlinks, page numbers, headers/footers, and table of contents as required.
  • Coordinate with internal departments (Regulatory, Finance, Import, Warehouse) for supporting documents.
  • Ensure the availability and up-to-date status of all supporting documents (GMP, registration certificates, financials, price lists).
  • Submit tenders electronically or in hard copy within the prescribed timelines.
  • Maintain a digital and physical archive of all submitted tenders with proper indexing.
  • Track tender outcomes, assist in evaluations, and manage post-submission correspondence and clarifications.
Skill & Expertise:
  • Strong proficiency in MS Word, Excel, and PDF tools (e.g., Microsoft Office, Adobe Acrobat, Nitro PDF).
  • Experience in document merging, file optimization, hyperlinks/bookmarks creation, and data entry.
  • Excellent document formatting, proofreading, and file handling skills.
  • Ability to handle multiple tenders and work under tight deadlines.
  • Strong organizational, communication, and coordination skills.
  • Knowledge of DRAP/PPRA or international procurement procedures is a plus.
Minimum Qualifications:
  • Bachelor's degree in Pharmacy, Business, or a relevant field
  • 1-2 years of experience in tender documentation or documentation management
  • Experience with pharmaceutical tendering processes in the local market.
