The Regulatory Research Specialist is responsible for regulatory tasks execution, building and maintaining relationships with regulators, instructors of records, vendors, and external contractors that impact the product line. The Specialist ensures regulatory compliance, tracks regulatory rule changes, interprets regulations, and keeps course content up to date.

This position works closely with product development teams to make informed decisions under a regulated framework according to rules and regulations while ensuring compliance and managing potential regulatory risks. It also identifies new business opportunities due to changing regulations and keeps other teams informed of changing requirements to devise successful business strategies and maintain existing programs according to industry-specific needs.

  • Have a clear understanding of all regulatory requirements and the approval/compliance process for assigned libraries.
  • Maintain precise documentation and interpretation of regulatory law and provide accurate information to the Product Development team.
  • Document all regulatory-related documents (approval letters, important notices, etc.).
  • Conduct research and analysis of regulatory laws & rules, and keep the Business Intelligence document updated with all applicable rule changes.
  • Work with regulators at state, county, department, and national levels to develop and maintain knowledge of regulatory requirements.
  • Conduct ongoing research to meet industry compliance education requirements and perform regulatory research on new business opportunities through state-level website research.
  • Analyze regulatory laws and communicate with the product development department for new course development and revision of regulatory courses.
  • Assist and support renewals and reporting teams with required information for course approvals, renewals, compliance reporting, and mandatory content updates.
  • Conduct instructor research according to industry-specific requirements and execute contracts between instructors and clients.
  • Maintain good relationships with contractors and ensure timely payments according to signed contracts.
  • Coordinate with instructors for upcoming development workshops or course schedules required by regulators.
  • Ensure instructors keep their certifications/credentials updated as required by state regulators.
  • Maintain a system for documenting, tracking, and managing all regulatory filings and updates.
  • Coordinate email communications with internal and external customers regarding queries.
  • Establish good relationships with regulators via email and phone.
  • Review all courses and associated paperwork released from production to ensure they meet regulatory requirements before submission for review and approval.
  • Ensure new submissions and renewals are submitted timely before expiration by communicating with the renewals team.
Job Specification

Required Knowledge, Skills and Abilities:

  • Minimum three years of hands-on experience with regulatory risk and compliance management, compliance research, and strong knowledge of the product line and e-learning business model.
  • Proficiency in Microsoft Office Suite, including advanced use of spreadsheets.
  • Competent in the use of internet and web-based applications.
  • Excellent verbal and written communication skills with an understanding of American English accent.
  • Fluent in English with a neutral or American accent.
  • Ability to build and maintain strong relationships with regulators, accrediting agencies, and government officials.
  • Strong relationship-building skills with external stakeholders including instructors, contractors, and vendors.
  • Excellent understanding of the training business under a regulated framework.
  • Practical knowledge of regulatory risk management, compliance, audits, and research.
  • Strong analytical skills to assess rules and regulations for potential business impacts.
  • Working knowledge of tracking regulatory rule changes and proposed regulations.
  • Ability to make independent decisions when required.
  • Ability to work under pressure and meet critical deadlines.
  • Highly organized, result-oriented, and self-motivated.
  • Attention to detail, accuracy, and speed required for project completion.
  • Ability to work independently with limited supervision.
  • Ability to stay calm and perform well under stress.
  • Self-accountability and respectful peer-to-peer accountability.
  • Experience handling legal matters is a plus.
