OFFICE: Office of Student Affairs (OSA) is a central university office that focuses on enhancing, enriching and supporting all aspects of students' experience on campus as a complement to their curricular experiences across the five schools. OSA comprises a constellation of units focusing on specific domains e.g. career services, residential life, sports, academic advising, student government, student societies, petitions, etc. In delivering on their mandate, these units collaborate closely with each other, and also with other partners across campus including the five schools Deans, academic departments, health & safety committee, RO, Provost Office, VC Office, etc. Currently, OSA is focusing on LUMS-wide gap-identifications in student support, and launching consequent restructuring and service-enhancements.

ROLE: The Manager will support the Associate Dean in serving as a thought-partner and managing teams in the domains of Academic Advising, Student Success and Student Support Services. Some of the work in these units includes: improving advising across campus; conceiving and implementing innovative programs geared towards supporting students and enabling their success at LUMS. Other aspects of these units include: Petitions (i.e. academic accommodations in courses due to short-term emergencies); Orientation for incoming students; and administrative support to the central Disciplinary Committee (DC).

Note: these are the main focus areas of these units, but it is not an exhaustive list.

Key Accountabilities:

Important Note: Managers are ultimately responsible for all their people and their work – the specific nature of the manager's contributions will depend on the needs of their teams at a particular point in time (which may include everything from high-order leadership to ground-level operational support based on the team's needs at that point.)

Keeping the above in mind, below are some key elements of a manager's role:

Vision, goal-setting and domain-enhancement

  • Work with OSA domain team leads and teams to develop vision/mission and long-term goals contributing to institutional strategy
  • Identify KPIs, collect relevant data and promote data-driven improvement
  • Ensure the work of teams remains informed by global best-practices as well as changes in the LUMS context (through research, community input, advisory boards, etc.)

Leadership Development & Supervision

  • Tracking each person's skillset relative to their current & future roles, and helping them develop new skills as appropriate
  • Monitor productivity systems, maintain a professional culture, and sustain high motivation in each team
  • Helping set and track goals/projects (through bi-annual goal-identification and monthly progress reviews)
  • Higher-level troubleshooting with Team Leads as needed
  • Review, improve and approve key content developed by each domain (through weekly content review meetings)
  • Initiate and monitor new projects with Team Leads (Manager's degree of involvement in implementation will vary)
  • Cultivate a positive work culture across all their teams, characterized by trust, respect, open communication, and high morale.
  • Manage and develop team leads, empowering them to lead effectively and contributing to succession planning.

Project & Operational Oversight:

  • Initiate and monitor new projects with Team Leads (Manager's degree of involvement in implementation will vary based on project needs).
  • Supporting Team Leads in managing their teams – goals and wellbeing
  • Balance multiple teams' projects, ensuring successful progression and timely completion.
  • Track progress effectively across teams and proactively identify and troubleshoot potential challenges.
  • Coordination
  • Update Associate Dean about progress of each OSA domain (frequency as required)
  • Coordinate with partners within OSA and outside (RO, IST, Deans, etc.)
  • When required for their own projects, coordinate directly with colleagues (up to VC/Provost level if needed).
  • Other
  • Support hiring within relevant OSA teams
  • Guide Professional Development of OSA staff.
  • Support Associate Dean as needed

Given the above, the ideal person should have a proven, multi-year track record of managing multiple reports (or teams) in a professional context. They should also have an interest in campus-level system-building and program design, implementation, and evaluation/refinement. They should exhibit strong team-management, project-management and teamwork skills, along with maturity, sound judgment, the ability to remain calm under pressure and the ability to coordinate with a broad range of stakeholders across campus (vertically and laterally). Lastly, given general LUMS restructuring and the specific OSA plans to professionalize, there must be a willingness to grow in general professional skills (reliability, dependability, strong work-ethic, supervisory and teamwork skills, leadership, etc.)

Long-term success in this role and career-progression will require: (i) superb leadership, teamwork, team-management and overall professional work-ethic (supervising people; developing other people's capacities; meeting deadlines; delivering high-quality output); ii) setting up/strengthening teams and systems; iii) structured and planful thinking; (iv) ability to learn and grow (identifying strengths/weaknesses, openness to feedback, working on short- and long-term skill development in growth-areas, etc.); (v) entrepreneurial skills (initiative-taking, multi-tasking, creative problem-solving, self-driven and autonomous goal-setting and execution); vi) ability to interact with the entire spectrum of stakeholders appropriately (students, parents, staff, faculty, school Deans and other senior administrators like the Provost, VC, etc.)

Knowledge and Skills

  • Employee development skills (building up teams, developing leaders, encourage potential, etc.)

  • Ability to remain calm under pressure and make appropriate decisions when faced with uncertainty

  • Other desirable knowledge/skills: Background in a relevant field (e.g., educational studies, developmental psychology, public policy, etc.).

To qualify for this role, you must have:

  • At least a Bachelors (Hons.) from a globally reputable and accredited institution.
  • At least 8 years of relevant experience with 3-4 years in a supervisory role.
  • Candidates with experience in OSA-related domains such as academic advising, career services, scholarship student support, and other areas of student affairs will be preferred. Prior experience in higher education administration, as well as team and project management including budgeting and hiring, is highly desirable.
