The Executive Assistant will directly support the CEO in administrative, operational, and strategic tasks. The EA must be highly organized, tech-savvy, proactive, and capable of managing communications, documents, tools, schedules, and workflows to enhance the CEO's effectiveness and organizational output.

Key Responsibilities:

  1. Administrative & Operational Support
    • Manage the CEO's calendar, schedule meetings, and prioritize appointments
    • Filter and manage CEO's email inbox, responding to routine inquiries independently
    • Prepare meeting agendas, record minutes, and manage follow-ups
    • Handle travel planning (domestic and international)
  2. Project & Client Coordination
    • Maintain client communication pipelines and update CRM (GHL)
    • Track project deliverables, deadlines, and updates in ClickUp
    • Prepare reports, presentation decks, and documentation for clients and internal use
    • Coordinate between departments/partners to ensure timely task execution
  3. System & Tools Management
    • Manage ClickUp (Tasks, Docs, CRM integration)
    • Operate Zoho Books for basic invoicing and finance tracking
    • Use Google Workspace (Docs, Sheets, Gmail, Drive)
    • Support basic automation setup across systems (Zapier, native integrations)
  4. Research & Drafting
    • Conduct research for consulting reports, proposals, workshops
    • Prepare first drafts of reports, business documents, or presentations
    • Manage knowledge repositories (Capacities / Notion / Drive)
  5. Personal Productivity & Strategic Support
    • Monitor the CEO's productivity and assist in weekly goal tracking
    • Help in habit monitoring and health milestone reminders if needed
    • Plan 90-day execution sprints and track progress

Required Skills:

  • Excellent written and spoken English
  • Mastery in Google Workspace (Docs, Sheets, Slides, Gmail)
  • Experience with ClickUp and Zoho Books (or ability to learn fast)
  • Excellent formatting, drafting, and document management skills
  • Ability to proactively prioritize, anticipate needs, and solve problems
  • Discretion with confidential information

Preferred Skills:

  • Experience with GHL CRM, Zapier, Capacities/Notion
  • Understanding of business consulting operations
  • Familiarity with KPI tracking and dashboard management
