In the U.S. trucking industry, a Sales and Dispatch Agent plays a dual role, combining customer acquisition and relationship management (sales) with logistics coordination and carrier management (dispatch). Below are the key duties and responsibilities for each function:

Sales Duties and Responsibilities:
  1. Lead Generation & Prospecting:
    Identify potential clients (shippers or brokers) needing freight services. Cold call, email, and network to build a client base.
  2. Client Relationship Management:
    Maintain strong relationships with shippers and brokers. Follow up regularly to secure repeat business.
  3. Rate Negotiation:
    Negotiate freight rates with customers for profitable loads. Prepare rate confirmations and ensure agreement on terms.
  4. Market Analysis:
    Stay updated on freight market trends, lane rates, and competition. Adjust sales strategies based on market conditions.
  5. Documentation:
    Prepare quotes, contracts, and sales-related documents. Keep CRM or sales database updated.
Dispatch Duties and Responsibilities:
  1. Load Planning and Assignment:
    Find and book loads for company-owned or contracted trucks. Assign loads based on driver availability and lane preferences.
  2. Carrier and Driver Coordination:
    Communicate load details to drivers. Monitor load progress and provide support en route.
  3. Problem Resolution:
    Handle delays, breakdowns, and customer complaints efficiently. Reassign loads when issues arise.
  4. Compliance and Documentation:
    Ensure all loads are dispatched with proper paperwork (BOLs, rate confirmations, etc.). Monitor HOS (Hours of Service) compliance and FMCSA regulations.
  5. Tracking and Reporting:
    Use ELD or tracking systems to monitor shipments. Update brokers/shippers with load statuses.
Skills and Qualities Needed:
  • Strong communication and negotiation skills
  • Knowledge of U.S. trucking regulations and lanes
  • Multitasking and problem-solving under pressure
  • Familiarity with TMS (Transportation Management Systems), load boards (e.g., DAT, Truckstop)
  • Ability to build trust with drivers and clients
